Function Provision of administrative support to our legal team and the organisation.

ABOUT THIS ROLE

Hobart Community Legal Service (HCLS) is a community-based organisation that provides a range of legal services, including free legal advice and advocacy, community legal education, law reform and policy, community development and liaison.

HCLS is looking for a motivated and organised Administrative Assistant to support our small team of lawyers, who provide a range of legal support and representation to southern Tasmanians who experience barriers to legal assistance.

This position is the first point of contact for clients and stakeholders either in person, by phone or by email. The role undertakes an initial assessment of each client’s legal and social needs to understand whether HCLS can assist or if a referral to an alternate provider would be more suitable.

The role also encompasses general administrative support to our legal team and the organisation as required.

PRIMARY TASKS

  • Carry out the responsibilities of the position in accordance with this Job Description, the funding requirements and the overarching vision, mission and values, policies and procedures and Strategic Plan of Hobart Community Legal Service.

  • Actively promote and demonstrate behaviours and conduct that champion HCLS values.

  • Build cohesion with the team around purpose, mission and values.

  • Provide exceptional customer service to all clients, ensuring issues are dealt with respectfully and confidentially.

  • Triage each client’s social and legal service needs in a professional and supportive manner and escalate as required.

  • Collect and input data to our case management system to contribute to funding deliverables and meet reporting requirements.

  • Make diary appointments for clients ensuring high levels of accuracy and collection of all relevant information.

  • General reception and administration duties including management of incoming mail, room bookings, ensuring the reception area is well presented and resourced.

  • Assist with preparing general correspondence, documents and file management.

  • Provide general administrative support to our legal service team.

  • Other tasks as reasonably directed by the Office Manager and Chief Executive Officer.

KNOWLEDGE, SKILLS AND QUALIFICATIONS

  • Ability to work within and positively advance the mission and values of Hobart Community Legal Service, including a commitment to social justice, equity and empowerment, and an ability to drive innovation and continuous improvement in service delivery.

  • Experience in an administrative role (legal or community sector preferable)

  • The ability to advocate, negotiate and liaise effectively on a client’s behalf in a non-judgmental manner, assessing their safety, identifying risks and developing effective strategies which address their needs, barriers and vulnerabilities.

  • Calm and mature approach to dealing with sensitive and highly confidential information.

  • Excellent verbal communication and interpersonal skills, with the ability to engage effectively with diverse groups, including working collaboratively within a team environment, supporting colleagues and contributing to a positive workplace culture.

  • Ability to ‘think on your feet’ and navigate complex situations and information.

  • Well-developed organisational and time management skills, the ability to set priorities and monitor workflow and take instructions/directions.

  • High level computer and system skills, including Microsoft 365 online, word processing, spreadsheets, databases, email and calendars.

  • Hold a current Tasmanian Working with Vulnerable People (WWVP) Employment registration (or equivalent), and current and clear National Police Check.
