Staff are invited to express interest in undertaking this role and must be available for/from 24 April 2025– 30 Aug 2025 (4 Months)
The Executive Assistant Will Be Responsible For
Assist the Project Team in effectively responding to enquiries within the scope of the position and redirect enquiries or action as appropriate.Provide courteous, professional and prompt handling of enquiries, both face to face, correspondence and over the phone.Provide word processing and administrative support in a timely manner, such as Agenda’s, Meeting Minutes, emails, correspondence letters and Briefs.Assists with employee contract changes or new employee documentation efficiently. Participate in the management of information systems, databases and associated applications, including checking the accuracy of documentation submitted, data entry, extraction of data, and preparation of reports. Work collaboratively with Administration to ensure stationery supplies and ordering is regularly maintained.Ensure office systems and procedures are established, enhanced and maintained.Ensure the timely processing of incoming and outgoing Correspondence.
Personal Abilities/Aptitudes/Skills
It is essential that applicants for this role have:
Excellent communication skills including written and verbal.High level of interpersonal and negotiation skills.Proven ability to work efficiently within a small team environment and to effectively resolve conflict.Proven ability to recognise and discreetly deal with confidential matters; demonstrate integrity of the highest order and exercise diplomatic skills appropriate to sensitive and high-level issues.Proven ability to proactively identify problems and issues and to exercise initiative/sound judgement in formulating and implementing solutions and actions.Proven ability to meet stringent deadlines, perform well under pressure and to manage demanding/competing work requirements.Proven ability to work with a high degree of independence, to determine priorities and to anticipate the requirements of Project level Managers.High level of analytic/attention to detail/research related skills.Demonstrated high level competency in word processing, excel, power point, email and scheduler.
Experience
High level confidential Executive Administrative support to senior staff, including the drafting and editing of briefsProven experience in a similar role, highlighting sound organisational skills and the ability to prioritise varying and conflicting workloads.Experience in arranging and providing high level support for meetings/functions.Experience in the preparation of agendas, minutes, letters and drafting correspondence and proof reading.Experience in establishing and maintaining effective office systems, procedures and technologies.Advanced keyboard skills with a high degree of accuracy. Experience in producing well-presented accurate documentation.Experience in developing, implementing and monitoring procedures to enact a high-level quality and safety service provision to internal and external customers.
Knowledge
Knowledge of the principles and practice of OHSW, Equal Opportunity, the Public Sector Act 2009 Code of Ethics and diversity appropriate to the requirements of the position.Sound knowledge and awareness of the functions and responsibilities of Senior Managers within the organisation.Sound knowledge and understanding of customer service principles in a multicultural organisation.A broad understanding of state and government health legislation, policies and structures
