We’re looking for a Group Planner & Coordinator—an organised, proactive team member who plays a central role in preparing and supporting group stays. In this role, you’ll shape the behind-the-scenes journey that makes group’s time at camp meaningful, organised, and stress-free.
Some Of What You’ll Do
- Serve as the main point of contact for groups in the lead-up to their stay
- Plan and coordinate logistics including schedules, activities, excursions, accommodation, and transport
- Collaborate with internal teams (Reception, Bookings, Activities, Housekeeping, Catering & Property) to align plans and communicate needs
- Keep groups clear and timely with documentation—confirming numbers, finalising programs, dietary and allergy info, room allocations, and more
- Keep internal systems and databases updated, with strong attention to accuracy and timing
- Contribute to team collaboration, process improvement, and flexible coverage—including occasional weekend or shared leadership support
- Proven coordination/planning or administrative experience in events, logistics, education, or guest services
- Excellent communication and people skills with a guest-focused mindset
- Strong computer competency—especially with Excel (data entry, formatting, filters, etc)
- Comfort using planning tools, digital forms, and shared systems to stay organised
- Ability to manage multiple timelines and priorities while staying calm and positive
- Alignment to the values of Christian Youth Camps and Phillip Island Adventure Resort
- A Victorian employee Working With Children Check (or willingness to obtain)
- Valid rights to work in Australia
