The opportunity

The People Systems Administrator and Analyst reports to the Chief People Officer and will work collaboratively with team in People & Development, Information Technology and Clinical Quality and Safety and User groups to administer Royal Freemasons HR Information Systems.

In this critical role, you’ll lead the design, implementation, and management of our people systems, ensuring they support our workforce, enhance compliance, and enable data-driven decisions. This is your opportunity to contribute to the future of aged care by empowering those who care for others.

This role requires a robust understanding of HR technology solutions and people systems, alongside the ability to provide guidance on systems-related tasks and projects.

Key Responsibilities:

  • Lead and manage the HRIS and other people-related systems to ensure accuracy, compliance, and efficiency
  • Improve workforce planning, rostering, onboarding, and learning systems with a focus on aged care regulatory standards
  • Collaborate with HR, payroll, clinical, and operational teams to ensure systems support day-to-day and strategic needs
  • Manage system integrations and ensure smooth data flow across platforms
  • Provide insights and reporting to meet both internal and external compliance requirements (e.g., Payroll Compliance and Aged Care Quality Standards)
  • Develop and deliver comprehensive People reporting and analytics to support HR functions and business decisions.
  • Contribute to the enhancement of HR technology solutions by efficiently gathering and analysing requirements, participating in system configuration and testing, and providing comprehensive education and training to end users
  • Troubleshoot and resolve issues related to People Systems solutions.
  • Enable end users through supporting knowledge transfer processes, ensuring effective utilisation of systems.
  • Perform Quality Assurance (QA) on Power BI dashboards created by the People Systems team to ensure accuracy and relevance.

About You:

  • Strong working knowledge of HRIS platforms (e.g., Aurion, Human force, Express, HRonboard)
  • Excellent stakeholder engagement skills with a collaborative, service-focused approach
  • Analytical mindset with experience in workforce data reporting, attention to detail and compliance tracking
  • A genuine passion for supporting those who care for our ageing population

Qualifications, knowledge and requirements required for the role

  • Previous experience leading people systems in a regulated environment (aged care, healthcare, or similar)
  • Strong experience in HRIS management or a similar HR systems role
  • Proficiency in creating reports and dashboards using PowerBI or equivalent BI tool.
  • Excellent analytical and problem-solving skills with expertise in facilitating process mapping workshops and requirement gathering.
  • Experience with SQL, advanced Excel skills, or other data analysis tools.

Other requirements

A current, full drivers licence for the State of Victoria which is appropriate for the type of vehicle being driven and comply with any restrictions on their licence (e.g. wearing glasses).

It is a mandatory requirement when working in the Aged Care sector to have a valid Police Clearance or National Disability Insurance Scheme (NDIS) Worker Screening Clearance, or potentially both, to undertake the inherent requirements of this role.

All aged care workers are encouraged to be vaccinated against Covid-19 (3 vaccines) and receive the Flu-Vaccine.
