Role Summary:


The Operations & Overlay Manager – Tech Site is responsible for the end-to-end planning, delivery and removal of all infrastructure and operational elements of the SailGP Tech Site in Sydney. This role oversees site design, contractor and supplier management, logistics and onsite operations to ensure the Tech Site is delivered safely, efficiently and in line with SailGP’s sustainability and event standards. Working closely with the Head of Event and other key SailGP departments, the role plays a key part in ensuring the successful execution of the event both behind the scenes and on the water.


Key Responsibilities:


Event Infrastructure and Operations Management

  • Plan, procure and schedule the build and delivery of Tech Site infrastructure and services.
  • Manage setup, operation and removal of infrastructure and equipment within budget.
  • Select, contract and manage contractors and service providers for infrastructure, equipment and event operations.
  • Oversee operational planning and execution of event sites, including:
    • Services and utilities
    • Waste management
    • Security and accreditation
    • Staffing
    • Transportation and traffic management
    • Temporary infrastructure and machinery
    • Maritime infrastructure
  • Support onsite accreditation setup and execution as directed by the Event Safety & Services Manager.

Venue Design and Site Management

  • Responsible for venue design, site management and technical requirements for all back-of-house event sites, in collaboration with the SailGP team.
  • Venue design to include the Tech Site, craning area, facilities, Crew Catering and satellite sites (e.g. Inspire).
  • Manage internal venue layouts for existing venues as needed.
  • Support the SailGP Workforce Services & General Event Support with the operational requirements for Crew Catering, on-water meals and media catering.

Permits and Licensing

  • Responsible for securing all consents, permits and licenses required for the event, ensuring compliance with all relevant local legislation.
  • Own the end-to-end workflow for all permits and licensing processes, ensuring timely submission and approval.
  • Develop and maintain a central tracking document to monitor progress and share relevant information across the team.
  • Schedule and lead briefing sessions with internal stakeholders; draft supporting process documents to ensure all contributors and action owners are informed of their roles in permitting workflows.
  • Act as the primary point of contact with local authorities and regulatory agencies involved in permitting and licensing.
  • Manage associated costs and ensure all budget impacts are communicated promptly to the SailGP Head of Event.

Project and Budget Management

  • Collaborate with the Head of Event to create and maintain a comprehensive event operations project plan.
  • Work closely with colleagues, contractors and suppliers to ensure timely and efficient delivery.
  • Procurement process management and financial compliance are led by the Finance & Procurement Manager, with this role defining scopes and managing delivery.

Sustainability and Safety

  • Implement SailGP’s sustainability initiatives across all operational elements.
  • Support development of event H&S documents in collaboration with key SailGP leads:
    • Crisis communication
    • Safety plans
    • Security plans
    • Adverse weather plans
    • Evacuation plans
    • Aviation plans
  • Ensure the Event Risk Profile is considered throughout planning and delivery and updated per event-specific risk and legislation.
  • Work with the Production & Site Managers and Health & Safety experts to ensure the relevant measures and facilities are in place to ensure efficient and safe working practices.
  • Work with the Health & Safety / engineering experts to ensure all structures are built in compliance with structural engineering documents, signed off and handed over in compliance with relevant processes.

Coordination and Communication

  • Coordinate with SailGP Global and APAC teams for event delivery to ensure cost efficiencies and organisational synergies.
  • Ensure effective communication and information dissemination to internal and external stakeholders, including the management of accreditation processes.

  • Support on :
      • Co-chairing (with Operations & Overlay Manager - Race Stadium) the regular planning calls with the SailGP team.
      • Co-chair (with Operations & Overlay Manager - Race Stadium) daily site coordination calls with all onsite leads throughout build, live days and derig.
      • Attend daily weather coordination calls during the delivery phase of the event. Responsible for sharing updates across onsite teams and guide on daily works adjustments required in light of weather forecast.

Supplier and Contractor Management

  • Manage procurement and suppliers for event operations within budget.
    • Scope temporary infrastructure needs (e.g., scaffolds, tents, cabins, fencing, cranes, moorings, docks).
    • Prepare technical specs and tender packages for all required structures and other facilities on site.
    • Select and manage best in class contractors to fulfill multiple onsite roles including:
      • Site Managers
      • Production and Floor Managers
      • Health & Safety experts
      • Engineers
      • Technical experts (as required)
      • Security experts (as required
  • Scoping and managing the contracts for all local suppliers under their direct remit – as per above - including KPI monitoring.

Event Logistics and Operations

  • Oversee operational planning and management of the Tech Site, including utilities, waste management, security, accreditation, staffing, transport and traffic management.
  • Work with the Production & Site Managers on assessing site readiness ahead of all activities including site marking out.

Technical and Operational Support

  • Consult with the SailGP team during the planning and delivery phase to ensure the venue design and operational plans support the sailing schedule and operational requirements. .

Additional Responsibilities

  • Contribute actively to the SailGP APAC team, supporting planning and efficiency.
  • Perform other duties as requested by SailGP.

Qualifications and Experience

  • Proven experience in operations management, preferably within large-scale sports or entertainment events.
  • Strong project management skills with ability to manage budgets and timelines.
  • Excellent communication and coordination abilities.
  • Solid understanding of health and safety regulations and risk management.
  • Team-oriented mindset with experience in dynamic, fast-paced environments.
