Description:

We are looking for an enthusiastic and experienced individual to join our team as the Basketball Operations Admin Lead at Basketball Queensland.

This role serves as the central administration and logistics support hub for the Basketball Operations Department, providing high-level support across Performance and Pathways, Competitions, Technical Officials, and Community Programs. It also provides essential support for the Centralised Tribunal process, including hearing preparation, participant coordination, and record management.

The position ensures the seamless delivery of strategic projects, events, and development programs across the Basketball Operations portfolio, contributing to organisational objectives and continuous improvement.

The following list of duties/responsibilities is not exhaustive and provided as a guide. Other duties may be required from time to time:

Department and Program Support

  • Provide comprehensive administrative support across all Basketball Operations functions, including Performance and Pathways, Competitions, Technical Officials, and Community Programs.

  • Maintain shared records, calendars, and reporting frameworks to ensure smooth communication and coordination.

  • Support the delivery of a range of athlete and coach development programs including:

    • Aspire Coaching Program : Coordinate event logistics, communications, and reporting.

    • Next Gen Development Initiative : Assist with coach support, athlete tracking, and program resources.

    • Future Development Program : Manage registration, communication, and logistical support for junior athlete and coach pathways.

    • Wheelchair High Performance Program : Provide scheduling, logistics, and communication support.

    • SPP (State Performance Program) : Coordinate off-court operations, tracking of athletes, and communication with coaches and parents.

    • State Teams and Nationals Campaigns : Oversee logistical planning for travel, accommodation, uniform orders, and event registrations; liaise with Basketball Australia regarding nominations and compliance requirements.

  • Assist with planning, logistics, and reporting for Competitions, Technical Officials training and development, and Community Program events and partnerships.

Tribunal Administration Support

  • Provide comprehensive administrative support for the Basketball Queensland Centralised Tribunal system.

  • Coordinate logistics for hearings, including scheduling, preparation of documentation, and communication with participants.

  • Prepare and maintain case files, ensuring confidentiality and compliance with relevant policies.

  • Record and distribute tribunal decisions to appropriate stakeholders.

  • Assist with updating tribunal protocols, maintaining the database, and tracking trends and outcomes.

Event and Facility Coordination

  • Book venues, training facilities, and event spaces for a range of programs and activities, including competitions and tribunal hearings.

  • Provide logistical and coordination support for State Tournaments, Development Camps, and departmental events.

Financial and Project Administration

  • Assist with development, monitoring, and reconciliation of program budgets across departments.

  • Manage invoicing, payment tracking, and compliance with financial agreements, including payment plans and reimbursements.

Marketing, Communications, and Reporting

  • Support communications and promotional activities across all programs, ensuring consistent messaging and timelines.

  • Liaise with the marketing team to coordinate key announcements such as team selections, uniform launches, and event promotions.

  • Prepare program reports, financial summaries, and stakeholder feedback to inform strategic decision-making and continuous improvement.

  • Support cross-departmental communications to ensure timely updates and high-quality service delivery.
