About you and the role
As the ideal candidate, you will have a proven track record of managing a busy aesthetic clinic and a genuine passion for providing an exceptional 'Customer Journey.' Your role will involve managing a diverse and dedicated team, driving them to deliver world-class service, optimizing workflow, and ensuring all operational needs are met. This exciting position requires proactive problem-solving skills, providing day-to-day direction and stability to the team.
The Role
In this role, your key responsibilities will be to:
- Manage reception
- Coordinate staff rostering, workload, ensuring effective utlisation
- Online booking management
- Manage clinic support staff
- Recruitment and workforce planning
- Support reception and front of house processes
- Support cash flow management
- Supporting the implementation of marketing campaigns and promotions
- Develop and maintain clinic policies and procedures
- Develop and maintain an asset register
- Ensure consumables and equipment are kept stocked and maintained
- Be part of and contribute to the team environment
- Oversee that clinic and rooms are clean, tidy and accessible
- Oversee day-to-day clinic operations
- Develop relationships with Dr’s, Nurses, Hair Growth Specialists and other stakeholders
- Ensure effective handover of every client from the Head of Sales
- Deliver consistent high quality service touchpoints
- Be the single overarching contact for clients
- Handling client inquiries where applicable
- Booking and scheduling appointments where applicable
- Managing client records in CRM software and hard copies
- Maintain accurate records and provide regular reports to management
- Improve the efficiency of the clinic and maximise profitability
- Provide clinic reporting to management as required
- Contribute to the development of a culture consistent with value of the clinic and Gro as a company
The ideal candidate for this role will have/be:
- Previous experience in high level clinic/aesthetic administration position
- People management including rostering, payroll, performance management
- Ability to problem solve
- Experience in financial management and reporting processes
- Ability to build customer and stakeholder relationships
- Ability to demonstrate and encourage leadership and teamwork
- Strong IT Skills
- Compliance and risk management experience
- Attention to detail
- Always learning
- Excellent verbal and written communication
- Strong organisational skills
- Ability to work across a range of priorities
