About the Role
As an Operations Coordinator , you will play a vital role in supporting our Site Manager, Operations Manager, and Warehouse Team. You will handle client enquiries, manage scheduling, liaise with contractors, and oversee project coordination from start to finish.
Key Responsibilities:
General Operations Support
- Answering Operations office landline and handling client enquiries.
- Monitoring and responding to email enquiries.
- Providing administrative and logistical support to the Site and Operations Managers.
Residential Projects Coordination
- Booking removal contractors and coordinating rubbish removal.
- Scheduling delivery of flooring materials and timber to site.
- Liaising with clients to manage expectations, timelines, and project completion.
- Scheduling and coordinating trades, including levelling, installation, and caulking.
- Maintaining project documentation in the company's software platform for easy access by stakeholders.
- Issuing purchase orders for labour and materials.
Sand & Finish Projects
- Scheduling and liaising with clients regarding project timing.
- Managing contractor schedules and providing job details.
- Creating purchase orders for Sand and Finish materials.
- Reviewing subcontractor timesheets and assisting with payment processing.
- Sending project details to accounts for invoicing upon completion.
- Providing clients with care instructions and maintenance guides.
- Logging and addressing any defects that arise post-completion.
Defects & Contract Works Completion
- Receiving defect handovers from Site and Operations Managers.
- Logging and tracking defects and coordinating resolutions.
- Liaising with contractors to ensure timely defect resolution.
- Updating construction software with defect status.
What We’re Looking For:
- Intermediate Microsoft Office 365 skills (SharePoint, Word, Excel & Outlook).
- Strong written and verbal communication skills.
- Excellent time management and organisational abilities.
- Attention to detail and accuracy in record-keeping and data entry.
- Self-driven and capable of working autonomously within a close-knit team.
- Ability to thrive in a fast-paced environment and manage multiple priorities.
