We are currently looking for a full time permanent Executive Assistant.
About the role
The Executive Assistant will support the Senior Executive Assistant (Senior EA) to provide efficient and responsive administrative, organisational, and logistical service to the Chief Executive Officer (CEO), the President and other members of the Executive.
What you'll be doing
- Support the Senior EA in scheduling and managing the diaries of the CEO, President and the Executive, ensuring efficiency and accuracy, maintaining consistency in scheduling formats across all calendars.
- Prepare draft electronic daily folders containing relevant appointments and necessary documentation for the Senior EA to review and finalise.
- Provide assistance in categorising emails and drafting responses to enhance workflow efficiency.
- Assist with arranging room bookings, venue set up, registrations and catering requirements for events related to the CEO, President and other Executive Members, as directed by the Senior EA. Responsible for ensuring that Event Blueprints are received at least one week in advance from the Events team for all events that the CEO, President and other Executive members are attending.
- Assist in drafting email responses, agendas and other various documents for the Senior EA to review, maintaining consistency in tone across document formats.
- Assist with organising, filing and retrieving documents efficiently using digital filing systems. Ensure proper document categorisation, naming conventions and version control for ease of access and reference. Support the Senior EA in printing and collating essential documents where necessary.
- Assist the Senior EA to coordinate travel arrangements for the CEO, President and/or Council members and the Executive, including organising of domestic and international conferences. Help compile the necessary travel packs, including printing and collating documents.
- Consolidate the monthly credit card expenses for the President, CEO and other possible Executive members. Ensure that expense receipts are electronically filed and shared with the respective credit card holders, Accounts Payable, and the Senior EA.
- Work with the Senior EA on special projects, initiatives, and/or events as directed, which may involve research, data analysis, and collaboration with other team members.
- Oversee the planning, coordination, and scheduling of the yearly credential visits. This includes liaising with the various courts and the Policy & Practice Department to ensure briefing papers are prepared and provided to the Executive.
- Maintain an updated database of key stakeholder contact information which includes Judges and their Associates, Constituent Body CEOs, Presidents and their EAs, Government body CEOs and their EAs.
- Act as the primary back up for the Senior Executive Assistant during periods of leave to ensure continuity in administrative operations.
- High school diploma or equivalent (Certificate or Diploma in Business Administration is desirable).
- Organisational and time management skills.
- High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Attention to detail and accuracy.
- Ability to multitask, maintain efficiency, and prioritise in a fast-paced environment.
- A proactive and positive attitude, with a strong willingness to learn.
- Prior administrative or office experience is an advantage but not essential.
- Able to represent the Law Society in a calm and professional manner.
- Well-presented, highly organised, reliable, and adaptable to various management styles.
- Displays flexibility and adaptability in fast-changing environments.
- Ability to handle confidential and sensitive information responsibly.
- Willingness to work outside of normal hours when necessary.
