About the Role
As the Personal Assistant you will be responsible for providing high level 1:1 support to the Associate Director Change Delivery, and administrative support for their respective teams.
Position Accountabilities
- Take ownership of calendar management and delivery of effective time management
- Organise and schedule meetings effectively
- Monitor emails and action urgent requests or issues
- Produce reports on a monthly basis and as requested
- Communicate, work with and produce forms for the People and Culture Department and the IT Department – maintain and update staff movements and changes
- Organise Team events, including small and large social events and staff meetings.
- Actively participate and assist in the Team Engagement results and outcomes
- Administrative tasks such as individual queries, expense claims, reporting date reminders, contracts, maintaining organisational charts
- Booking of domestic and international travel and accommodation
- Create and monitor upcoming deadlines, ensuring timelines are met
- Meeting minutes and actions as required
- Provide backup to other assistants across C&A when on leave etc.
- Identify and report potential risks or inadequate controls related to compliance or operational risks.
- Champion a culture of risk and compliance across the division
- Maintain awareness, understanding and compliance with Company policies and procedures, including the on-time completion of mandatory training.
What experience you’ll bring;
- Proven diary management and organisational skills
- Intermediate proficiency in email and internet capabilities
- Excellent written, interpersonal and verbal communications skills
- Intermediate to Advanced level in Microsoft Excel , Microsoft Word, PowerPoint packages and Google Docs.
- Ability to demonstrate attention to detail at all levels including proof reading ensuring data accuracy
- Corporate presentations/small event management experience
- Demonstrated capacity for self-management, participative decision-making, team participation and the ability to accept, promote and self manage change.
