About the role

The Practice Administrator for Adelaide Plastic Surgery reports to the Business Manager and provides generalist support in administration, recruitment, onboarding, staff engagement/performance and compliance. This role also includes the supervision and day-to-day leadership of a team of Receptionists / Administration staff, Personal Assistants and Typists. The role will involve maintaining a roster system to balance the working hours of individuals, service expectations and equitable workloads.

About Adelaide Plastic Surgery

Adelaide Plastic Surgery opened its doors in 1998 and has since evolved into one of the most highly regarded and largest centres for plastic surgery in Australia. There are eight specialist plastic surgeons and one specialist breast and oncology surgeon. They work collaboratively with hand therapists and expert laser and cosmetic nurses. Their mission is to provide outstanding patient-centred care in a professional and friendly environment.

Key Responsibilities-

  • Prepare and maintain staff rosters (in conjunction with the Clinical Nurse Manager), including leave management, in a timely manner and ensure that all necessary schedules are communicated to relevant team members.
  • Managing sick and annual leave and taking non-attendance calls.
  • Manage and coordinate staff to ensure work performance and tasks are maintained at a high standard.
  • Coordinate the end-to-end employee life cycle, including recruitment, onboarding, training, development and termination.
  • Coordinate pre-employment processes, including reference checking, employment verifications and receipt of appropriate certificates and licenses, e.g. working with children.
  • Coordinate the onboarding activities, monitor probation periods for new starters, and facilitate salary reviews on an annual basis.
  • Prepare other routine employment correspondence, including contract variations, status changes, incremental increases, etc. and liaise with the Business Manager and payroll.
  • Manage offboarding procedures, including exit interviews and resignation processes.
  • Implement performance management processes and provide support as needed.
  • Set up new user accounts and access for employees as required.
  • Stay informed about the latest HR trends and best practices to ensure continuous improvement.
  • Facilitate regular staff meetings in conjunction with the Business Manager.
  • General HR administration and ad-hoc duties as required.
  • Practice procedures are developed, implemented, and reviewed to ensure quality assurance and correct practice governance.
  • Ensure the practice has appropriate systems, policies, and procedures, including WHS and risk management frameworks.
  • Manage office systems and processes, including filing systems, office equipment, and office policies and procedures.
  • Liaise with internal/external individuals to acquire relevant information needed to complete core functions.
  • Promotes the culture and values of practice.
  • Maintain confidentiality at all times.
  • Manage special projects as requested by the Business Manager.

We are looking for someone with-

  • Tertiary qualifications in a relevant Human Resources or related Practice Management Degree.
  • Managed a small-medium team.
  • Experience with Genie software or similar
  • Knowledge of employment lifecycle processes and documentation.
  • A collaborative and flexible style, with a solid commitment to management of staff, leadership, building a winning team.
  • High-level written and verbal communication skills, with the ability to effectively communicate with staff at all levels.
  • Proven ability to implement new procedures and processes, working both independently and collaboratively as part of a team.
  • Demonstrated ability to undertake several projects concurrently, maintain work quality and be flexible and adaptable in approach to multiple requests.
