Financial Reporting and Accounting • Assists with the preparation of the Financial Statements, including the preparation of notes, reconciliations and supporting documentation for annual audit and reporting purposes in accordance with Financial Management Act and the Office accounting policies and procedures. • Ensures accountability, accuracy and integrity of financial transactions including within the General Ledger. • Under direction, ensures the Office’s compliance with Procurement Act 2020, Financial Management Act 2006, Australian Accounting Standards, Financial Management Manual and other relevant legislations. • Coordinates and processes accounts payable and accounts receivable. • Monitors and actions the accounts payable inbox. • Assists and performs the month-end and year-end processes. • Prepares monthly and annual journals as directed. • Assists with preparation of supporting documents for internal and external auditors. • Undertakes the preparation and submission of the Business Activity Statement. • Assists with the corporate credit card processes and acquittals. • Responsible for undertaking financial reconciliations as directed. • Prepares and assists with asset management including additions, disposals, stocktake, depreciation and reconciliations. • Assists with the development, and monitoring of financial management policies and procedures that support business needs and enable compliance with relevant legislative and external requirements. • Assists with the maintenance of the contract register, exemption register and a record of all contracts and agreements.Facilities Management and Administration • Undertakes administrative functions for the office, relating to day-to-day administrative matters. • Monitors and actions the facilities inbox, such as logging issues. • Obtains quotations and liaise with suppliers relating to minor building maintenance and repairs. • Manages contractor visits to the office to undertake work and ensure contractors comply with work health and safety legislative requirements. • Maintains and assists with the fleet leases and parking maintenance.
