We have a fantastic opportunity for a Project Coordinator to join and support our Perth Civil team to deliver multiple projects. We are looking for an individual who is a keen problem solver and thrives working in a fast-paced environment. In this varied role, you will support, mentor and guide the project team to deliver deadlines and ensure that all projects are delivered to the highest quality; following compliance standards and processes. We are looking for an individual who is a meticulous operator and who has had proven previous experience in a similar role. This position is a full-time permanent opportunity based in our Perth CBD office.
Your day to day
- Assistance in preparing tenders, bids, and proposals for clients, including identifying response requirements, completing associated schedules, co-ordinating input from the relevant disciplines, collating and tailoring CVs, and sourcing relevant project examples.
- Proof reading and formatting of project documentation including submissions, reports, letters and other company documents.
- Assisting to consolidate and upload submission documents through various tender portals.
- Maintaining database for tender portals and ensuring any subscriptions are current.
- Project document control using QDMS, Teambinder, Aconex and other programs.
- Project compliance management throughout the life of the project from realisation to completion and close out.
- Coordinating and executing project management activities including:
- Risk Management – assisting the Project Managers in using the Risk Management System. Following up outstanding approvals and/or action items.
- Start-up meetings – scheduling meetings with key stakeholders, preparation of meeting documents, closing out action items.
- Project Management Plans – establishing and maintaining, ensuring the team is adhering to the frameworks and procedures.
- Preparation of subconsultant appointment letters and purchase orders.
- Assisting with project auditing
- Co-ordinating, attending and preparing documentation for the Civil Group team meetings
- Assisting Project Managers with various tasks such as meeting scheduling, agendas, attending meetings, minutes taking and dissemination, time reporting and any other administration tasks.
- Assisting with other office operational duties of other disciplines as required.
About you
- 3-5 years of demonstrated experience as a project coordinator or in a similar role within a professional services environment (within engineering consultancy or contractor would be a plus)
- Proficiency in using Microsoft Office Suite
- Demonstrated ability to deliver quality work with a high level of accuracy under minimum supervision and work autonomously within a team environment to ensure deadlines are met
- High level of interpersonal, oral, and written communication skills with the ability to interface, interact and work with the various project areas
- Enjoy collaboration with various stakeholders and ability to build rapport quickly
- Self-starter, high level of efficiency, exceptional attention to detail along with excellent time management skills with the ability to handle fluctuating workloads
- A preparedness to learn and adopt new work practices, systems, and procedures
