The Role
We are seeking an experienced and highly motivated Executive Assistant to join the St Vincent de Paul Society's (SVdP) team. In this pivotal role, you will provide high-level administrative support to the Executive General Manager (EGM) of Client Services (0.8 FTE) and the EGM of Housing & Property Strategy (0.2 FTE). You will manage diaries, coordinate meetings, assist with project support and maintain effective record management systems, ensuring the smooth operation of leadership functions. The ideal candidate will be proactive, organized and ready to contribute to the mission of a compassionate and respected charitable organization.
Key Responsibilities Include
- Provide comprehensive administrative support, including managing diaries, scheduling meetings and organizing functions for the EGMs and senior leadership team.
- Develop and maintain efficient administrative systems, ensuring accurate and up-to-date information is accessible while safeguarding confidentiality.
- Assist in preparing reports, presentations and routine correspondence while adhering to organizational branding guidelines.
- Coordinate travel arrangements, functions and venues for meetings as needed.
- Ensure compliance with VincentCare’s policies and legislative requirements, including privacy and safety regulations.
- Act as the main point of contact for the EGMs, responding to routine inquiries and safeguarding sensitive information.
- Support Board/Committee meetings, including organizing reports and transcribing minutes.
- Help identify areas for improvement in current administrative processes and support systems.
What We’re Looking For
- Qualifications: Relevant tertiary qualification or equivalent experience.
- Experience:
- Proven experience providing high-level administrative support, particularly at the executive or senior management level.
- Expertise in diary management, document preparation, and meeting coordination.
- Ability to work independently and manage competing priorities under tight deadlines.
- Experience handling sensitive information with discretion and maintaining confidentiality.
- Skills & Attributes:
- Exceptional communication and interpersonal skills with the ability to build relationships at all levels.
- Strong organizational and problem-solving skills, with high attention to detail.
- Proficiency with Microsoft Office and the ability to manage complex administrative tasks.
- A polished, professional demeanor and the ability to represent VincentCare with credibility.
- Mandatory Requirements:
- Current Victorian Working with Children Check (or equivalent).
- Satisfactory completion of police and reference checks.
