Summary:
The Administration Assistant supports the efficient operation of the Business Services team by performing a wide range of administrative and operational tasks. This role ensures smooth daily activities through strong organisational and communication skills, a proactive approach to problem-solving, and adherence to company policies and procedures.
Responsibilities:
- Managing correspondence (emails, letters, phone calls)
- Data entry, record-keeping, and maintaining filing systems
- Preparing reports, presentations, and spreadsheets
- Scheduling meetings and managing calendars
- Greeting and assisting visitors
- Ordering office supplies and maintaining office inventory
- Assisting with travel arrangements and accommodation bookings
- Assisting with ad hoc accounts data entry
- Creating, formatting, and proofreading documents
- Assisting in organising company events or meetings
- Coordinating logistics for training sessions or workshops
Qualifications & Experience:
Required
- Minimum of 3 years’ experience in an administrative or business support role, preferably within the defence, government, or commercial sectors.
- Proficiency in MS Office Suite and other relevant software (Employment Hero and Visio would be an advantage).
- Australian Citizenship and ability to hold a Security Clearance.
Desirable
- Excellent organisational skills with a keen eye for detail.
- Excellent written and verbal communication abilities.
- Strong problem-solving skills and an adaptability to a dynamic work environment.
- Familiarity with basic People and Culture processes.
