Description:

Manage files in line with established file management processes to ensure ongoing high quality of service to parties and supervise registry officers. One (1) permanent position is available.

As The Senior Registry Officer You Will

  • Contribute and provide effective supervision to a small team of Registry Officers, ensuring a supportive and cohesive workplace environment for all staff.
  • Keep tribunal stakeholders at the centre of service delivery and respond to their needs in a trauma-informed and compassionate manner, ensuring the prompt resolution of enquiries, requests, issues, and complaints;
  • Provide human-centred and trauma-informed service delivery and use of digital technology to improve service delivery and efficiencies.
  • Recognise and action any presented risks relating to Domestic, Family and Sexual Violence (DFSV), including anti-social behaviours of service users by collating available information and escalating to senior colleagues while ensuring your direct reports are supported.
  • Foster a work environment focused on continuous improvement through identifying and implementing business, process and technological improvements and its associated policy development.
  • Assist the Principal Registry Officer to oversee the team and monitor matters ensuring applications are processed accurately and in a timely manner in accordance with legislation, policies and procedures and rules for the relevant jurisdictions.
  • Cultivate and nurture professional and collaborative relationships based on respectful and confidential engagement with key stakeholders including judiciary members and their staff, government agencies, self-represented litigants, and the general public to provide effective service delivery and support.
  • Maintain files for QCAT matters with minimal supervision and take appropriate action to assist the decision makers.
  • Assist in the development, review and implementation of policies, strategies, processes and systems to facilitate the efficient and effective management of registry activities with a view of implementing continuous business improvements.
  • Have input into the management of workflows and team coordination to ensure accurate and timely data entry processing of all applications and correspondence including always identifying and dispatching urgent matters to the relevant teams and taking initiative.
  • Ensure compliance with administrative systems including maintaining data integrity and adhering to established processes policies and procedures, and legislation. This includes setting clear objectives and guidelines, monitoring performance indicators, implementing corrective actions as necessary, and regularly reviewing procedures for optimal efficiency.
  • Ensure that accurate information is provided to parties, mediators, judicial officers or members of the public on the role of QCAT, its processes, procedures or legislative provisions in a professional and friendly manner.
  • Review and action files, including providing required information to all parties and ensuring the file is progressed in accordance with the QCAT processes and current legislation.
  • Participate in and complete initiatives and activities to support QCAT's business plan and strategy.
  • Record and prepare reports on statistical data and trends, and prepare correspondence, documents and registry records as required.
