Role Details
Reporting to the HSE Manager, you will support all day-to-day administrative activities across Visy's Tumut plant. The position requires strong attention to detail, organizational skills, and the ability to communicate effectively with key internal and external clients. You will bring your motivated, hands-on, and proactive nature to delivering complete administration support ensuring efficient operations of the site.
What you'll do
- Meet and greet all visitors and contractors
- Coordinate and administer site employee and contractor induction function
- Coordinate and work closely with all key project disciplines (i.e.: Construction, HSE, Finance) to ensure continuity in the subcontracting process to achieve project goals
- Administration support for HSE team (meeting minutes, schedules, registers etc.)
- Lead the identification and prequalification of potential/ new contractors to ensure documentation and onboarding and induction processes are implemented
- Continually manage HSE documentation & records both digitally and manual filing
- Support the HSEQ management system on site and ensure all audits and processes are completed
- Schedule and manage planned project HSE meetings, inspections and the preparation and distribution of meeting minutes and reports
- Administer the training matrix and schedule to ensure required training is planned, attendees invited, attendance is recorded and reporting on progress is delivered to management.
- Liaison with contractor site representatives to maintain open communication and a high standard of HSE requirements on the site
- Create and provide access cards to all visitors and contractors
- Ad hoc wider duties as required
What You Will Bring
- Prior experience in an Administrative or Office Management position
- Exposure to manufacturing or industrial businesses (desired)
- Demonstrated experience with site inductions and access systems
- Knowledge of contractor management and workplace HSE requirements
- Ability to work independently and as part of a team
- Strong communication and interpersonal skills
- Excellent problem-solving skills, with a high level of attention to detail
