What We’re Looking For...
As our Facilities Coordinator you will be responsible for delivering facilities and building management services that comply with all codes and regulations, meet service requirements, and ensure a safe and secure environment for all employees.
Your role will include:
· Oversee daily facility operations, troubleshooting, and resolving issues.
· Manage maintenance and functionality of systems (lifts, lights, HVAC, electrical, plumbing, EMS).
· Coordinate with building management to minimise utility disruptions.
· Schedule and oversee routine and preventative maintenance.
· Coordinate and supervise contractors for maintenance, repairs, cleaning, and cleanroom services.
· Support production gowning supply replenishment.
· Act as the primary contact for facility-related matters and collaborate with departments.
· Manage the facilities inbox and respond to stakeholder requests.
· Monitor Siemens EMS, analyse data, and escalate issues.
· Maintain security systems and manage access cards.
· Coordinate with co-tenants and manage landlord relationships.
· Provide updates on facility conditions, compliance, and projects.
· Assist with space organisation and preparation.
· Perform routine maintenance, troubleshooting, repairs, and furniture setup.
· Manage contractors, ensuring performance and compliance.
· Set up suppliers, purchase orders, and process invoices.
· Track maintenance, utility, equipment, and supplier expenses.
· Maintain safety and regulatory compliance records.
· Monitor and report on environmental systems.
· Ensure WHS and security standards are met.
· Implement and update WHS processes and investigate risks.
· Lead and support the WHS committee, driving continuous improvement.
· Implement and communicate facilities procedures as needed.
· Flexibility in working hours to meet the needs of the facility and ensure smooth operations.
About you:
· Strong background in facilities management and maintenance coordination.
· Experience working with a cleanroom or production environment.
· Knowledge of general building systems including HVAC, plumbing, and electrical.
· Experience in performing a range of both technical and non-technical facilities services.
· Expertise in vendor management, including negotiating contracts and managing vendor relationships.
· Strong administration skills and proficiency in MS Office.
· Organised, with the ability to prioritise a varied workload.
· Good communication skills, both written and verbal.
· Strong customer service skills with the ability to maintain positive relationships with all stakeholders.
· Ability to problem-solve and troubleshoot, knowing when to seek assistance.
· Ability to efficiently organise and manage projects.
· Attention to detail but also the ability to see the implications for the bigger picture.
It’s not essential, but nice if you have:
· Experience in the Medical Device industry or related field.
