What this opportunity involves:

We are seeking an office administration professional to join our client site! You will be the main point of contact and undertake various duties such as reception, mailroom including incoming and outgoing mail and parcels, facilities support and any ad hoc requests from the FM.

A snapshot of the role:

  • Accept all incoming mail from Postman. Separate them & email to receivers.

  • Accept deliveries from interstate HPI sites. Enter them into the inbound register & make a run-sheet.

  • Provide superior customer service to meet on-site client’s expectations.

  • Liaise with base building management as required.

  • Assist in managing all on-site contractors to ensure they perform to the required standards (including inspection of vendors’ works). Includes ensuring JLLOnsite inductions are completed. Full completion of Permit to Works Forms, SWMS, Insurances, and all supporting licenses/documents obtained before any works are undertaken or commencing.

  • Manage all invoices in Corrigo, request vendor invoices, and comply with approval requirements.

  • Maintain premises in neat and good working condition at all times.

  • Prior experience in facilities, property management, hospitality or related fields preferred.

  • Understanding local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageous.

  • A proactive approach, seeking out ways to better the operations.

  • Ability to work autonomously with teams dispersed across the country.
