The Opportunity
As an Administration Assistant at headspace Port Lincoln, you'll be the friendly face and first point of contact for young people, their families, community groups, and other stakeholders, helping to facilitate smooth transitions through our services.
You will provide essential administrative support across all operational areas, from managing phone inquiries and scheduling calendars to updating client databases and processing bulk billing claims to Medicare. You will assist the Consortium Committee with agendas, meeting minutes, and post-meeting tasks, as well as supporting the administration team with maintaining client records and coordinating appointments.
In this role, you will ensure a high standard of care for young individuals and their families, providing reception and administrative support to all members of the Port Lincoln centre. You’ll help maintain a professional, confidential, and youth-friendly environment, contributing to the smooth operation of services and day-to-day activities, while ensuring the centre remains accessible and welcoming for all clients.
Some of your key responsibilities will include:
- Perform administrative tasks including reception duties, telephone management, calendar and appointment scheduling, database management, and correspondence handling.
- Provide general support with resource preparation, shopping, postage, and other office duties.
- Assist with meetings by handling secretarial tasks, scheduling, and preparation.
- Manage office systems, filing, brand materials, and promotional materials.
- Perform reception tasks such as patient billing, medical history requests, and appointment management while ensuring confidentiality of young people and headspace information.
Essential Requirements
- Tertiary qualifications and/or a minimum of 3 years' relevant experience in office administration/reception in a medium sized organisation, ideally in the social support environment or medical reception.
- Knowledge and/or experience of MBS system and processes for patient billing or the ability to rapidly acquire relevant skills.
- Strong organisational skills, the ability to successfully complete several tasks concurrently, maintain high levels of attention to detail, maintain documentation and record keeping, and meet deadlines.
- Sound written and oral communication, interpersonal and customer service skills and the capacity to deal confidently and courteously with people at all levels.
- Well developed proficiency, knowledge and experience in Microsoft Office suite.
Understanding of the health and well-being of young people aged 12-25, particularly regarding mental health and substance use issues. - Ability to tactfully respond to crisis situations and to handle information with confidentiality.
- Experience working with young people in a youth-friendly manner.

- Successful applicants will also need to hold a ‘C’ class Open driver licence, State Working with Children Check and hold, or be eligible to apply for, a Licensed Care Suitability Check issued by the Department of Child Safety, Youth Justice and Multicultural Affairs.
