About the role

The key new Facilities and Fleet Coordinator role has been created to support our growing organisation as we continue to elevate and evolve to meet the needs of our young people and Industry Partners across our six Southeast Queensland Schools and beyond.

This 12 month contract role will be a great fit for a hands-on person with a background in facilities and fleet, ideally with HVAC and electrical experience, and the drive and enthusiasm to make a difference.

Key outcomes

  • Contribute to the overall performance and operations, ensuring user expectations are met in relation to the built environment and motor vehicle fleet, across the organisation.
  • Take the lead to ensure that work health and safety policies and practices are adopted and followed across the organisation and that required reporting is prepared to ensure the business fulfils its compliance requirements.
  • Develop and implement operational standards and recommend continuous improvement practices to maintain facilities and vehicles based on industry best practices.

How will your typical day look? We are seeking someone to -

Facilities:

  • Provide cross-campus facilities management and services.
  • Participate in continuous improvement planning for the future building space and supply needs.
  • Ensure works are carried out within agreed timeframes to maintain daily operational running of facilities.
  • Keep staff, users and stakeholders informed about works that may affect their working environment.
  • Be the first response to “make-safe” premises and equipment failures where appropriate.
  • Understand and implement systems to support building security.
  • Oversee facilities maintenance routines, and related activities.
  • Health, Safety, Security and Environment (“HSSE”) built environment and compliance.
  • Conduct facility, fleet and work health and safety inspections at campuses.
  • Manage facilities’ contracts and assist in maintaining building compliance.
  • Manage contractor relationships and oversee contractor operations to ensure compliance with Service Level Agreements.
  • Identify and manage operational and maintenance requirements, including minor building projects, works and fit outs as well as repairs to fixtures, fittings and facility equipment.

Motor Vehicle Fleet:

  • Ensure fleet vehicles are available when required by scheduling, forecasting and surveying user trends.
  • Collect, review, maintain and report on data such as vehicle usage and personal mileage.
  • Administer vehicle registrations, insurance and other documentation to induct new vehicle fleet.
  • Oversee routine and ad hoc maintenance of fleet vehicles.
  • Monitor fleet operations to ensure compliance with local and state rules and regulations.
  • Maintain and monitor the data management system to organise fleet information, schedules and requests.
  • Streamline and monitor the fuel purchase system for vehicles and drivers.
  • Ensure users comply with timely accident and vehicle damage reporting requirements, vehicle safety inspections, and emissions inspections.
  • Plan and execute new and replacement vehicle purchases in conjunction with the Head of Corporate Services.
  • Plan and prepare annual budgets and expenditure in conjunction with the Head of Corporate Services.

Skills And Experiences

About You

To be successful in this role you will bring the following skills and experience:

  • Experience in a similar role (ideally has HVAC, Electrical and Project Management experience)
  • Strong attention to detail, problem-solving ability, and advanced MS Office skills
  • Proven ability to show initiative and effectively manage changing priorities and deadlines
  • A flexible, solution-focused approach
  • Ability to demonstrate The Industry School values
  • Working with Children Check (Blue Card)
  • Valid driver licence
  • Right to work in Australia
