THE ROLE

As the Fleet Coordinator, you are overseeing the maintenance, repairs, and operational activities of the fleet while implementing strategies to enhance cost-effectiveness, ensure regulatory compliance, and drive overall productivity.
  • Coordination and control up to 220 trade jobs weekly
  • Research review and compare products and prices regarding vendors
  • Manage logbooks, record and audit data
  • Provide advice to the Purchasing Supervisor on cost saving methodologies.
  • Assist with the procurement, ordering and purchasing of expensed and asset items (excluding balance sheet parts and engine stock items).
  • Administer the selection and ordering of service providers.
  • Manage the fleet of work vans, utes’ nation wide
  • Ensure timely control of license renewals being, registrations, minor and major services, repairs,
  • Document all actions and follow up due dates
  • Fuel card reconciliation, costing and allocating
  • Handle communications concerning purchases including price adjustments, return of damaged goods, additional shipments to handle shortages and request credit notes where applicable.
  • Assist with the development of Company Policies, changes to those policies and assist with implementation.
  • Coding and Cost allocation of nationally purchased items.
  • General correspondence archiving and ensuring records management.
  • Maintain records of all processes as required by the Procurement Department.
  • Compiling spreadsheets, preparing PowerPoint presentations and sending out group emails.
  • Assist with meeting arrangements, administer timelines as necessary.

This team work extremely well together, they follow policy and procedure yet enjoy a relaxed yet timeline driven environment – everyone pitches in.
You will also personally handle anomalies where information has not been sufficiently supplied and rejected from the CRM, liaising with external parties at all levels.
THE ESSENTIALS
Able to work in a tight knit team
  • Have a minimum of two years administration experience with exposure to Procurement & Purchasing principles
  • Proficient to make mathematical evaluations quickly and accurately.
  • Ability to maintain financial records and files, organising files and compiling reports.
  • Ability to manage multiple competing priorities by demonstrating flexibility in approach to tasks and adaptability when dealing with several priorities.
  • Strong written and verbal communication.
  • A person with a can-do attitude, who thrives on timelines and variety
