About the RoleJBS Australia are excited to commence the search process for a pragmatic and experienced Executive Assistant (EA) to support the Chief Operating Officer (COO) of our Northern Operations division. Based at our Northern Ops head office in Riverview, the EA will support our COO by delivering high quality, confidential personal and professional administrative support, whilst focusing on building strong networks and relationships with internal and external stakeholders. Your key responsibilities will include:Management and Board meeting preparationOrganising catering, gifts and hampers as requiredCompleting complex travel bookings including managing visa requirements for international travelArranging travel for Northern Ops senior management teamManaging phone and written correspondence, preparing presentations, dealing with queries and complaints and managing diariesReconciling corporate credit cardsAssisting with national events including finding and booking venues, entertainment, guests, catering etc.Organising staff meetings, management meetings, strategy meetings and staff training daysCommunicating ideas on complex and sensitive issues clearly in writing, selecting language, tone and format to suit recipientsAchieving agreement in ways which enable the achievement of common goals and retention of goodwillBuilding and maintaining a strong network of internal and external contacts which will facilitate achieving objectivesDemonstrating a high level of awareness of cultural issues; recognising and accommodating cultural differences in order to put others at ease in business and social interactions About You Previous experience in a similar EA position, simultaneously supporting several high-level managersStrong written and verbal communication skillsEffective use of MS Office as well as the ability to adapt and learn new software packagesStrong adherence to office management proceduresAbility to multi-task, work under pressure and meet deadlinesEffective event, project management and diary management skillsHigh degree of accountability, attention to detail and follow-upAbility to demonstrate initiative, identify opportunities, anticipate problems and rectify situationsAbility to work with a wide range of stakeholders towards a common goalAbility to establish effective collaborative relationships with stakeholders across the businessHigh levels of enthusiasm, energy and resourcefulnessExperience working with confidential documents and proceduresAdept analytical skills Why work for JBS Australia?Competitive remunerationAccess to heavily discounted JBS productsRetail discounts with national partnersHealth insurance discounts with Bupa and Medibank PrivateOngoing leadership and career development opportunities Interested?
