Role Overview:
As the Group Reservations Coordinator, you are responsible for coordinating the reservations, rooming lists, accounts and run sheets for all conference and event business. This role requires excellent communication skills, attention to detail, and a customer-centric approach to ensure guest satisfaction while supporting the hotel's occupancy and revenue goals. Group Reservations Coordinators also collaborate with the Front Office, Sales, Catering & Events and Revenue management teams to ensure seamless operations with clients, organisers, conference guests and internal operational stakeholders.
Key Responsibilities:
- Coordinating with Group and Event organisers on rooming lists and group itinerary
- Enter rooming lists for all conference, corporate, social and inbound groups into property management systems, ensuring a high level of accuracy and timeliness
- Assist Catering & Events with developing group rundowns
- Attend pre-conference and post conference briefings
- Update guest information and ensuring correct routing for master accounts
- Manage all phases of billing handed over from Sales including deposits, routing & billing comments as per contract instructions
- Build and monitor Res-link Groups website and respond to guest enquiries when required
About You:
- Strong organizational and multitasking skills, with the ability to manage large volumes of bookings and ensure efficiency
- Proficient in using reservation systems, revenue management tools, and hotel property management systems (PMS, OPREA)
- Work experience within reservations team within 4/5 start hotel environment
- Must have passion & attitude with keen attention to detail and strong problem-solving skills
- Exceptional communication and interpersonal skills, enabling effective collaboration with guests, team members, and other departments
