About the Role
As the Administrative Assistant – Timekeeping and Rostering , you will play a key role in ensuring our operations run smoothly. This role is perfect for someone who excels in administration, time management, and communication. You will be responsible for supporting rostering, timekeeping, client services, and general office administration to help our team provide the best possible care.
Key Responsibilities
Administration & Client Services:
Provide professional and efficient administration support, including reception duties.
Respond to internal and external inquiries via email, phone, social media, and website.
Maintain electronic filing systems and uphold workplace health and safety standards.
Rostering Support:
Monitor and fill unallocated shifts to ensure smooth service delivery.
Process roster changes, including leave requests and shift variations.
Plan and coordinate handover/shadow sessions with the State Manager.
Timekeeping Support:
Follow up on unsubmitted timesheets to ensure timely payroll processing.
Monitor variations in shift records and travel charges.
Identify and escalate flagged case notes for management review.
Other Responsibilities:
Represent Authentic Support in a professional and community-focused manner.
Build and maintain strong relationships with staff, clients, and external stakeholders.
Identify and report potential risks to ensure the safety of clients and team members.
Prioritise tasks effectively and problem-solve to meet deadlines.
About You
To thrive in this role, you will need:
Essential Qualifications & Clearances / Requirements:
- Working with Children Check (WWCC)
- NDIS Worker Clearance (or willingness to obtain promptly)
- Valid Driver’s Licence
- Completed NDIS e-learning modules (online, free to everyone)
- Infection Control Training (online, free to everyone)
Skills & Experience:
- Previous experience in administration, rostering, or timekeeping (preferred).
- Understanding of the NDIS and SCHADS Award (highly regarded).
- Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint).
- High attention to detail with excellent problem-solving skills.
- Strong communication and customer service skills.
- Ability to work independently and as part of a collaborative team.
- Exceptional time management and organisational skills.
