Assett Group Services is an industry leader and largest privately owned provider of maintenance services to the social housing sector. We are seeking a highly organised and detail-oriented Executive Assistant to join our team and play a crucial role in managing the day-to-day operations of our Executive Director plus our C-Suite of three.
The role will be based at our Macquarie Park office, with the expectation of also working from our North Sydney office 1-2 days per week. We will also offer WFH options. Both offices are conveniently located near major public transport hubs.
This is a newly created and pivotal opportunity. You will be someone who thrives in fast paced environment and has a broad range of skills and experience. You will need to have exceptional time management and organisational skills to juggle multiple priorities, a keen eye for detail while maintaining a structured approach to daily tasks, and strong communication and interpersonal skills to liaise across our executives and all team members. And of course, the ability to maintain confidentiality is a must for this position.
Along with providing general administrative support as needed, the key responsibilities will include:
1. Email and Calendar Management
- Managing the Executive Director’s emails and calendar, including responding on their behalf and coordinating schedules.
- Maintaining a separate email system for C-suite and family communications to ensure confidentiality.
2. Daily Tasks
- Taking detailed minutes of meetings and distributing amongst attendees.
- Performing ad-hoc daily tasks, such as paying bills and sorting mail.
- Streamline and prioritise tasks to ensure the smooth operation of the executive office.
3. Property and Investment Management
- Commercial and residential property administration
- Act as a liaison between tenants and agents, addressing any property-related concerns.
4. C-Suite Assistance
- Provide executive support to our C-suite when required.
- Collaborate with other executives to ensure seamless communication and coordination.
5. Management of Company LinkedIn Page
- Collaborate with the Executive Director and other executives to review our social media strategy and create engaging and relevant content that aligns with our brand and marketing objectives.
- Social Media Management: Manage our social media platforms, create engaging posts, and analyse their performance to boost our online presence.
Qualifications & Experience:
- Previous experience as an Executive Assistant at C level, or someone who is ready to take that next step in their business support career
- Excellent organisational and multitasking skills
- Flexibility and adaptability
- Strong written and verbal communication and interpersonal abilities
- Proficient in Microsoft Office and other relevant software
- Ability to work independently and as part of a team
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information
- Commercially savvy
- Familiarity with real estate, property management, or trade experience is a plus
- Demonstrated previous experience in managing company social media content would be highly regarded
