We are seeking an organised and proactive Administration & Project Support Officer to provide essential support to our team during a 12-month contract (with possible extension).
About the role
As the Administration & Project Support Officer, you will be key to ensuring the smooth running of the office, manage day to day accounts and provide customer support. You will work closely with consultants, assisting with project documentation and support and ensuring efficient workflows. This office-based position is part-time, 30.4 hours per week, worked over 4 or 5 days. Hours are negotiable for the right applicant.
Key responsibilities
- Day to day office management – liaise with office suppliers and services, manage inboxes and incoming phone calls, prepare and, when requested, chair internal meetings, maintain and manage office supplies and other consumables.
- Accounts support – Receivables, payables, and reporting assistance.
- Project administration and support – manage and maintain project management system, review and organise contracts, agreements, and purchase orders, assist in quoting and reporting, assist with resource and time management.
- Customer service – review and set up client registrations, monitor and respond to support tickets, provide customer service and basic sales.
- Support directors in basic HR processes as instructed.
About you
Essential
- At least 2 years experience in administration and project support.
- Previous customer service experience.
- Proficiency in Microsoft Office Suite (specifically Word and Excel).
- Strong organisational, multitasking, and communication skills.
- Great attention to detail.
- Self motivated and able to work independently or with minimal direction.
Desirable
- Experience with WorkflowMax or similar project management systems
- Experience with Xero accounting package or similar systems
- Background in consulting, engineering, or environmental firms.
