Applications are invited for an experienced Executive Services Officer(ESO) to join our school community supporting the Executive Principal. This role requires the Executive Services Officer to be available to work onsite 5 days a week and is to commence in Term 2 until December 2025.
As a key member of the school support staff team, the role of Executive Services Officer is integral to the successful management of the day-to-day operations of the school. As the ESO you will provide high level support to meet the demands of the Executive Principal's position as the head of one of Queensland's largest secondary schools, and the only State High School in the GPS and QGSSSA programs. The Executive Services Officer will provide a range of executive and secretarial support along with confidential administrative services to support the activities of the Executive Principal.

About the School

 The school opened in July 1921 in the Normal School on the corner of Adelaide and Edward Streets and moved to the present site in 1925. Since then, efficient use of the available area, purchase of adjacent properties and judicious development of facilities on the site have resulted in a well-appointed school, which caters for over 3,300 students.

About the Role

Duties and Responsibilities (including but not limited to):

  • Organise the Executive Principal for liaison with senior government, private sector executives and community representatives in order to expedite the business activities of the school and the Department
  • Provide a comprehensive range of executive and administrative support services including preparation of accurate and timely reports, minute taking and distribution, correspondence and other documents, financial management, and procurement.
  • Maintain effective time management practices for the Executive Principal including coordinating diary appointments, prioritising correspondence, preventing unnecessary interruptions, and screening telephone calls
  • Provide executive support for meetings chaired by the Executive Principal including preparing agendas, and minutes, prioritising correspondence, and responding to outstanding queries and requests for information.
  • Assist with the administrative operations of the office, including skilled use of Microsoft Office applications, OneSchool, OnePortal, or similar management system.
  • Manage and maintain the school's Master Calendar and the school website
  • Quality Assurance processes, ensuring accuracy and consistency of outgoing correspondence, reports, and other documents, including adherence to departmental policies, procedures, and style guides
  • Assist with school events where required.

Ideal candidate will have following skills, knowledge and attributes:

  • Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • Experience in Quality Assurance processes.
  • Technical proficiency with website management and maintenance, ensuring content accuracy, timely updates, and alignment with the school's communication strategy is highly regarded
  • Proven experience in managing and maintaining master calendars, ensuring alignment with school events, activities, and key deadlines
  • Excellent organisational and time management skills, with the ability to manage multiple projects and deadlines effectively
  • High level of proficiency and demonstrated ability in the use of Microsoft Suite products, including Outlook, Word (mail merge processes), and Excel
  • Proven ability to multitask and work well under pressure, managing shifting priorities and interruptions in a dynamic office environment
  • Demonstrated reliability, consistently delivering work of a high standard and meeting deadlines
  • Experience in a similar position within a school is desirable but not essential
  • Ability to work collaboratively and operate as an effective team member
  • An ability to operate with a high degree of independence, initiative, discretion and judgement in performing the duties of the position while maintaining open channels of communication between all staff within the department and other members of multidisciplinary teams.
