The DWECH Practice Manager plays a pivotal role in overseeing the efficient and effective operation of our medical clinic. You will be responsible for managing daily administrative and operational tasks, ensuring compliance with regulations, and fostering a positive work environment for staff.

A successful Practice Manager will be required to work with other functional areas in DWECH to promote cohesive, whole of life care for Aboriginal and Torres Strait Islander people and the wider community.

Duties include (but not limited to):

Oversee the day-to-day administrative operations of the clinic, including scheduling, billing, and patient registration.Develop and implement efficient office procedures to streamline workflow and maximise productivity.Manage electronic health record systems and ensure accurate and timely documentation.Develop and manage the clinic budget, including monitoring expenses and revenue.Implement billing and coding procedures to optimise reimbursement and minimise errors.Work with insurance companies to negotiate contracts and resolve billing issues.Stay current on healthcare regulations and ensure the clinic’s compliance with local, state, and federal laws.Implement policies and procedures to maintain patient confidentiality and protect sensitive information.Prepare for and participate in audits and inspections as required.Monitor and evaluate the quality of patient care and customer service.Implement quality improvement initiatives to enhance patient satisfaction and outcomes.Collect and analyse data to identify areas for improvement and implement corrective actions as needed.Ensure the clinic facility is clean, safe, and well-maintained.Coordinate with vendors and contractors for repairs and maintenance.Implement policies and procedures to ensure compliance with health and safety regulations.Collaborate with healthcare providers, including physicians, nurses, and allied health professionals, to coordinate patient care and optimise clinic operations.Serve as a liaison between clinical and administrative staff to facilitate communication and teamwork.Understanding of Aboriginal Culture and willingness to create a culturally safe environment for clients and staff.Effective management of systems and staff to meet accreditation guidelines. (AGPAL)Work with practice staff to ensure their ongoing personal and professional development to ensure a safe and harmonious work culture.

Qualifications:

Qualification in healthcare administration, business administration, or a related field.Experience working in or with Aboriginal and Torres Strait Islander health care setting desirable.Previous experience in healthcare management, preferably in a clinic or medical practice setting.Strong leadership and interpersonal skills, with the ability to motivate and inspire a diverse team.Excellent organisational and problem-solving abilities, with attention to detail.Knowledge of healthcare regulations, billing and coding practices, and electronic health record systems.Proficiency in computer applications, including Microsoft Office and healthcare management software.Ability to adapt to changing priorities and work effectively in a fast-paced environment.National Police Check or the willingness to obtain within employer specified timeframe.Working with Children Check or the willingness to obtain within employer specified timeframe.Must be willing to undertake training and professional development.Annual First Aid and CPR training where the role requires.Emergency Management training where the role requires.Current Victorian Driver’s License.Proof of vaccination status consistent with public health orders and with DWECH policy (includes but is not limited to COVID-19 (3) – seasonal influenza vaccination highly recommended).
