We are looking for a Part Time Office Manager to help organise our office and amazing team. You will play a crucial role in our Go-To team. Reporting to the HR Manager, you will have a knack for all things Office management. You will be a vital team member who isn’t afraid to dive in and tackle tasks of any size. Handling the daily operations of our amazing office, your hands-on approach and versatility will make a significant impact.

This position requires an individual with a keen attention to detail, strong problem-solving abilities, and a can-do attitude, who can anticipate needs and provide effective solutions with minimal direction.

Responsibilities

You will proactively provide support to the Go-To team in managing all aspects of day-to-day functions, ensuring the smooth running of the office. You will have outstanding organisation skills, a can-do attitude, and the ability to manage multiple tasks simultaneously.

This role requires a detail-oriented individual with excellent organisational skills, a proactive approach to problem-solving, and a strong attention to detail.

Office Management

  • Maintain and manage the Go-To office to deliver an incredible experience for all team members and visitor
  • Oversee day to day office environment – Greeting guests, accepting and organising couriers/mail, general tidying and organising of the office and kitchen area including the dishwasher and our meeting rooms.
  • Collaborate with the Go-To team to manage meeting rooms and their bookings, ensuring rooms are used efficiently and accurately
  • Weekly online grocery orders to provide the team a kitted out kitchen with breakfast and the best possible snack options
  • Manage the office operational functions including:

– Facilities and equipment maintenance

– Correspondence

– Purchasing supplies and equipment

– Shopping

– Various activities as needed

  • To ensure guests of the business have the correct documents/materials in advance of meetings and assist with filing and printing of highly confidential board packs and other documents.
  • Maintains office services by organising office operations and procedures; designing filing systems; reviewing and maintaining office supplies
  • Address employee queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
  • Provide general support to visitors
  • Provide IT and Technology support in office as required; including VC facilities, laptop issues and general IT queries.
  • Assist with the coordination of team forums (quarterly updates, board meetings etc.) including the preparation of agendas and distribution of actions. This may include follow-up of action items.
  • Plan in-house or off-site activities such as parties, celebrations, initiatives and conferences within budgets provided
  • Provide ad hoc support to the CEO and CMO as required including diary manage
  • Provide ad hoc support to the HR Manager as required including; onboarding and offboarding team members, updating/formatting policies and documents, and updating our org chart
  • Producing and formatting reports and presentations as required

About You

  • 2 – 4 years professional experience in an Office Management role
  • Demonstrated experience delivering Office management projects and initiatives within time and budget guidelines
  • Demonstrated strong interpersonal skills with a collaborative attitude
  • Demonstrated experience in managing multiple projects, tasks and priorities
  • Proven team player who thrives on collaboration and getting the job done!
  • Demonstrated high level communication skills (written / verbal)
  • Demonstrated high level Project Management skills.
  • Excellent relationship building skills
  • Outstanding organisational and time management skills
  • The ability to apply discretion and maintain confidentiality as appropriate
  • Sound understanding of Office Technology
  • Hands on mentality where no job is too big or small
  • Excellent MS Office knowledge
  • Strong G.Drive Management knowledge

This role is a part-time contract role based in Sydney. (Hybrid work policy, obviously.)
