Cross River Rail will transform the way we travel to, from and through Brisbane in the future. It will be a catalyst for 10 years of wider rail transformation across the whole of South East Queensland and it is already playing a key role in how we prepare for the 2032 Olympic and Paralympic Games.
Cross River Rail is a new 10.2km rail line including 5.9km of twin tunnels running under the Brisbane River and CBD. It includes the delivery of four new underground stations, two new above-ground stations, accessibility rebuilds for six stations, the construction of three new stations on the Gold Coast, and the introduction of a new world-class ‘ETCS' signalling system.

About the Role
As a Document Controller you will manage and oversee the project’s document control systems to ensure that all project records, reports, and communications are accurate, up-to-date, and properly stored. You will work with both internal teams and external stakeholders to ensure that all documentation is compliant with contractual requirements and ready for project milestones such as practical completion and handover.
Your role is critical in making sure project information is well-organised, easy to retrieve, and accurately reflects the progress of the project.
This opportunity is offered as a contract until December 2026 with possibility of extension.
Key Responsibilities:
- Maintain controlled document registers and manage the Delivery Authority's Project Communications and Document Management System (InEight - TeamBinder).
- Receive, record, and distribute technical documentation (briefs, drawings, reports, RFI, Transmittals, Technical Query, correspondence, etc.).
- Provide MicroFocus Content Manager (TRIM) and TeamBinder user support for project teams, specifically for design and commercial correspondence processes.
- Receive and process Bentley ProjectWise deliverables and libraries from Stakeholders.
- Initiate, review, and report on technical review workflows, escalating delays where necessary.
- Ensure teams use the most current templates for external communications.
- Assist in ensuring technical review and comments are delivered within contractual timeframes.
- Provide progress reporting on controlled documents and package status updates.
- Perform document control quality checks on all incoming drawing packages and outgoing documentation.
- Control documentation modification, distribution, and issuance throughout its lifecycle, including Preliminary Design, Detailed Design, Issued for Construction, and As Built.
- File and organise project documents in TRIM and TeamBinder and ProjectWise, as well as physical controlled drawings and documentation.
- Manage all project documents within TRIM to maintain a complete project record.
- Build and maintain trusted relationships with key stakeholders and decision-makers.
- Work in accordance with the Delivery Authority’s policies, procedures, and safety requirements, demonstrating alignment with our values and behaviours.
About You:
To be successful in this role, you will have:
- Significant knowledge and experience using electronic document management systems in large infrastructure projects, preferably with a rail and construction field.
- The ability to implement and adapt to changes in document control processes.
- A strong understanding of project phases from transaction, design, procurement, construction, commissioning, as-built, and project close.
- Strong negotiation and communication skills (both written and verbal), with the ability to liaise with stakeholders regarding contractual document submissions.
- Demonstrated experience controlling and distributing project communications from contractors to stakeholders.
- Experience implementing document control strategies and procedures for internal and external users.
- A results-driven and self-motivated approach, with the ability to work well in a team environment.
- Experience in safekeeping bank guarantees/security bonds and implementing secure procedures for managing records.
- The ability to search for, retrieve, and safeguard physical and electronic records for confidential matters as required.
- A commitment to compliance with project standards, contractual requirements, and recordkeeping legislation.
