We are seeking a proactive and resourceful Executive Assistant to support the Executive Leadership Team, assisting with high-level decision-making and facilitating seamless collaboration in a fast-paced environment. This role requires a professional with conscientiousness, drive, and autonomy, ready to thrive in a dynamic, mission-driven environment.
Responsibilities:
- Manage complex Outlook diaries and coordinate internal/external meetings.
- Prepare meeting materials, take minutes, and follow up on action items.
- Assist in the timely submission of Committee and Board papers, ensuring adherence to corporate standards.
- Coordinate travel arrangements, including flights, accommodation, transfers, and detailed itineraries.
- Expense management and reconciliation
- Finalise and generate reports and presentations, including document formatting.
- Collaborate with internal stakeholders to provide timely workplace support.
- Assist in the establishment of the Sydney office and including process improvement.
Experience required:
- Prior experience supporting executive-level roles within financial or professional services.
- Advanced proficiency with MS Office applications (Outlook, Word, Excel, PowerPoint).
- Excellent time management, multitasking, and prioritisation capabilities.
- High level of professionalism and confidentiality
- Humble, positive, and proactive attitude with a collaborative team orientation .
