Mount Gravatt Mazda is seeking an energetic Service Receptionist who is customer service orientated and solutions focused.

The Receptionist will serve as the first point of contact for customers, ensuring an exceptional experience through courteous and professional service. This role requires strong organisational skills, the ability to multitask, and a focus on customer satisfaction. The Receptionist will assist with bookings, general inquiries, and administrative tasks, contributing to the smooth operation of the business.

The Service Receptionist may be required to perform duties outside those listed below. Thus, the list should not be seen as limiting the responsibility of the person(s) taking on the role.

Key Responsibilities:

Customer Interaction and Call Management:

  • Answer incoming calls in a courteous and professional manner.
  • Direct calls to the appropriate department or individual as necessary.
  • Assist customers with booking appointments and general inquiries.
  • Respond to customer email inquiries and booking requests promptly.

Booking and Documentation:

  • Create accurate bookings, ensuring customer details and requirements are correctly recorded.
  • Follow up with no-show bookings via phone or email.
  • Prepare job cards in advance, ensuring all quotes and requirements are correct.
  • Check for any outstanding vehicle recalls and ensure that the vehicle is registered.

Customer Area Maintenance:

  • Maintain cleanliness and tidiness of the reception and customer areas, including the coffee area.

Loan Vehicle Management:

  • Hand out loan vehicles to customers as required, ensuring all necessary procedures are followed.
  • Maintain a record of loan vehicles available and current kilometres.

Key Competencies and Skills:

Customer Service:

  • Strong customer focus with the ability to communicate effectively.
  • Demonstrated understanding of customer retention.

Technical and Administrative:

  • Basic understanding of technical automotive knowledge.
  • Sound administration skills and IT proficiency.
  • Demonstrated ability to rapidly acquire knowledge of in-house systems.

Organisational Abilities:

  • Motivated and able to prioritise work with minimal supervision.
  • Strong organisational and time management skills.

Teamwork and Problem-Solving:

  • Demonstrated experience working within a team.
  • Lateral thinking with strong analytical and problem-solving skills.

Professionalism:

  • Excellent communication skills, both verbal and written.
  • Experience in the automotive industry is desirable but not essential.

Desired Attributes:

  • Experience with vehicle servicing processes and procedures.
  • Attention to detail and a proactive attitude toward tasks.
