Description:
- Clerical & Administrative Support: Proficiency in administrative and clerical tasks, including working with MS Word, MS Excel, FilePro, and similar software programs. Responsibilities include organising and managing files and records, transcription, and handling general office procedures and terminology.
- Legal Knowledge: A general understanding of legal concepts, court procedures, laws, and regulations is ideal.
- Legal Secretarial Support: Provide comprehensive secretarial assistance to a team of secretaries and fee earners, responding to various day-to-day requests as needed.
- Document Preparation: Prepare legal documents for both Litigation and Commercial matters utilising Microsoft Office Suite.
- Transcription Duties: Transcribe dictation for fee earners to ensure accurate and timely documentation.
- Diary & Schedule Management: Maintain and organise diaries and schedules, ensuring meeting commitments are met.
- File Management: Ensure proper electronic filing within FilePro and maintain physical files according to office procedures.
- File Administration: Handle the opening and closing of case files in line with established procedures.
- Team Support & Work-flow Coordination: Assist in distributing work overflow among secretarial staff in collaboration with Senior Management to ensure smooth office operations.
- General Office Support: Perform additional administrative duties as needed to ensure the efficient running of the office.
- Meeting Coordination: Organise and manage aspects of team meetings, including setting up venues, sending diary notices, and preparing relevant documentation.
- Training & Development: Coordinate training sessions to ensure that all duties and responsibilities are up to date in consultation with Senior Management.
