About WishlistWishlist is the Sunshine Coast Health Foundation, a not-for-profit organisation dedicated to supporting the growing needs of patients and families on the Sunshine Coast and Gympie. We provide a range of support for local health services including all areas of Nambour, Caloundra, Maleny and Gympie hospitals and the Sunshine Coast University Hospital. Our Mission is to work in partnership with the Sunshine Coast Hospital and Health Service (SCHHS) and the communities it serves, to keep Queenslanders healthy and enhance services through the provision of affordable hospital accommodation, medical equipment, service support, education and research.About the roleThe Accommodation Officer is an important member of our dedicated team. The primary focus for this role is to support the Accommodation Manager, and Volunteers in delivering high quality Wishlist accommodation services across multiple sites – Wishlist Centre and Wishlist House in Birtinya and Wishlist Reed House in Nambour.
Responsibilities1. Accommodation Bookings: • Manage and coordinate accommodation bookings for guests, ensuring accuracy and timely confirmations. • Maintain an organised booking system and track changes to reservations, cancellations or special requests. • Assist guests in making bookings or managing their stay, providing assistance with check-in/check-out procedures as needed. • Ensure that accommodation bookings align with event timelines, guest preferences and accessibility needs.
2. Volunteer Coordination and Training: • Assist in training and coordinating volunteers who will support accommodation operations during guest stays. • Ensure volunteers are equipped with the necessary information and tools to assist guests effectively. • Act as a point of contact for volunteers, answering questions, providing guidance and resolving issues promptly. • Monitor volunteer performance and offer feedback or additional training as needed.
3. Guest Liaison and Customer Service: • Provide guests with information about their stay, assisting with inquiries regarding their accommodation, offering friendly, timely and professional service.. • Manage, in the first instance, guest concerns or complaints with empathy, providing effective solutions to ensure guest satisfaction. • Ensure that all guest needs, including special requests, are met in a timely and professional manner.
4. Administrative Support: • Maintain accurate records of bookings, volunteer assignments and guest interactions. • Assist in the preparation of accommodation-related reports, invoices and documentation as needed. • Support the Accommodation Manager with any administrative tasks related to guest services and volunteer management
Qualifications• Well-developed communication, interpersonal and customer service skills with the ability to quickly develop meaningful relationships. • Intermediate level IT skills and expertise in the use of Wishlist software systems including RMS (booking system), Office 365 and SharePoint, and the Better Impact volunteer management system. • Commitment to the professional development of self and volunteers. • Ability to remain diplomatic and amiable, demonstrating problem solving skills to the team including while under pressure. • Exceptional written and verbal communication skills. • Sound organisation and prioritisation skills and the flexibility to operate in a sometimes complex and fast-paced environment. • A friendly, positive attitude and the ability to engage with multiple stakeholders both within and outside the organisation in an emphatic manner.
Mandatory Requirements• Blue Card – to be provided within one month of commencement via Wishlist Volunteering application. • Criminal History Check - to be completed by the officer at their expense (tax deductible) and provided within one month of commencement via AFP Application (converga.com.au) • Current driver’s licence.
