We are seeking a motivated and organized Office Assistant to join our team and support various departments within our organization.
We are seeking an Office Administration Assistant and Sales Support to handle a variety of tasks, with experience in the foodservice /transport industries being an asset in a small office enviroment
The Role:
- Perform general office duties manage files.
- Strong office orginizational skills
- Excellent phone manners.
- Customer focus, order taking, assisting sales staff
- Daily data entry of customer supplier orders.
- Administrive support for management.
- Experience doing similar role
- Strong administrative experience
- Experience in supplier management and invoicing
- Effective communication skills, both verbal and written
- Ability to work independently
- Strong technology skills (specifically in Microsoft 365 Excel, Word ,Office ,Attache ,Xero desirable)
- Self-starter who is able to work unsupervised and prioritises work accordingly
- Strong attention to detail
- A drive to accomplish results, setting goals and executing to deadlines
Key Responsibilities:
- Compliance: Ensure all company policies and procedures are followed and assist with compliance-related tasks.
- Phone Management: Answer and direct phone calls in a professional and courteous manner.
- Invoicing Order Processing: Assist with the preparation and processing of orders & invoices.
- General Manager Support: Provide administrative support to the General Manager, including scheduling, correspondence, and other tasks as needed.
- Sales Team Assistance: Support the sales team with administrative tasks, including data entry, report generation, and customer follow-up.
Qualifications:
- Proven experience as an office assistant or in a similar role in foodservice.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
