Trayne Consulting is currently recruiting a highly organised and customer-focused Property Admin Officer to join our client based in Carrara. Our client manages long term rental accommodation within their caravan park, hosting approx.150 properties on-site.
This role is essential in ensuring the smooth daily operations of the business, covering all aspects of property management, administration, and customer service.
Reporting to the Manager, this permanent part-time position (Tuesday – Friday, 28 hours per week) is ideal for someone who is proactive, solution-focused, and enjoys engaging with tenants and stakeholders.If you thrive in a fast-paced environment, have a strong eye for detail, and bring a can-do attitude, we’d love to hear from you! The key duties of the role are as listed, but not limited to:
Oversee daily administrative operations to ensure the smooth running of the Caravan Park. Manage property-related tasks, including tenant interviews, lease agreements, bond lodgments, entry and exit inspections, rent processing (fortnightly), arrears follow-ups, and resident welfare checks. Handle resident inquiries professionally via phone, email, and in person. Maintain and update compliance records for utilities such as gas and electricity. Process invoices, reconcile credit card transactions, manage petty cash, and oversee general financial administration. Conduct fortnightly payroll for a team of five using Reckon/QuickBooks. Coordinate maintenance requests and liaise with the Maintenance team. Perform general office duties, including ordering stationery and kitchen supplies, filing, managing mail, and maintaining onsite laundry facilities. Ensure properties are well-maintained upon tenant exits, which may include minor cleaning tasks such as washing curtains and microwaves. Carry out any ad hoc duties as needed by the Manager. To be successful in this role, you must have the following proven key attributes:
Proven experience in a similar role such as Property Management or similar is highly desirable.Strong Microsoft Office skills (Word, Excel, Outlook) Payroll experience is essential, with knowledge of Reckon/QuickBooks or similar accounting softwareExcellent communication skills (both verbal and written) with the ability to build positive relationships with tenants, staff, and external stakeholders. Highly organised and proactive, with the ability to multitask, prioritize, and work efficiently in a fast-paced environment. Strong attention to detail and accuracy, particularly in financial tasks, along with solid numeracy skills. Ability to work autonomously while contributing to a small team of five—note that you will often be the sole person in the office. A valid open driver’s license and reliable transport are required. A positive, can-do attitude, with discretion and the ability to take on additional tasks as needed.
Please note that this role requires you to be the third point of contact for after-hours emergencies, following the initial response from a security company.
