Medical Secretary – Specialist Medical Practice
About Us
We are a well-established specialist medical practice based at Flinders Private Hospital. Our team is dedicated to delivering high-quality patient care in a fast-paced and professional environment. We are now seeking an experienced and proactive Medical Secretary to join our team and provide high-level support to one of our busy surgeons.
About the Role
This role is ideal for a highly organised and detail-oriented individual who is committed to excellent patient care and thrives in a fast-moving medical environment. You will play a crucial role in ensuring the smooth day-to-day operation of the practice while supporting a busy surgeon with a variety of administrative and patient-focused tasks.
Key Responsibilities:

Managing a high volume of patient appointments and bookings

Handling phone and email enquiries professionally and efficiently

Processing Medicare, DVA, and private billing claims (including Eclipse billing)

Preparing and coordinating patient records, correspondence, and medical reports

Providing consulting and secretarial support, including diary management

Assisting with theatre bookings, preparation of theatre lists, and surgical billing

Typing and transcribing audio dictation for patient and GP letters

Uploading and managing patient records in Genie medical software (or similar)

Traveling to offsite consulting sessions as required to assist the surgeon

Supporting the surgeon with a variety of administrative tasks
About You
To be successful in this role, you will need:

Previous experience as a Medical Secretary or in a high-volume administrative role (experience in a specialist practice highly desirable)

Strong organisational and multitasking skills to manage competing priorities

Excellent attention to detail and ability to work efficiently under pressure

Knowledge of medical billing and Medicare processes (desirable)

Proficiency in Genie medical software or similar (preferred)

A friendly and compassionate patient-focused approach

Exceptional communication skills to liaise with patients, medical staff, and stakeholders

Ability to maintain strict confidentiality of patient records

A proactive and professional attitude, capable of working autonomously
