Information Management Officer

About the Role
The Information Management Officer is responsible for ensuring high-quality service through daily operational activities, conducting inductions and training on records management and EDRMS usage, and contributing to process optimisation. They support system administration for EDRMS, assist with procedural documentation, ensure compliance, and participate in planning and delivering Information Management programs. Additionally, they identify process improvements, enhance customer service efficiency, and undertake tasks and projects as directed by the Manager Business Solutions.
Job Specification
• Information Management - Handling and processing incoming mail (physical and electronic), scanning, registering documents in the corporate EDRMS, and assist in the retrieval of information from storage on-site and off-site in a timely manner.
Providing system administration support for the corporate EDRMS and other relevant information systems to ensure they meet business needs.
Managing service requests via the Information Management helpdesk, ensuring timely and effective resolution.
• Continuous Improvement - Supporting information management programs, projects, and the development of procedural documentation for consistent service delivery.
Proactively identifying improvement opportunities and collaborating on process reviews for better customer service.
• Communication - Offering sound advice to ensure proper use of information management processes across the organisation.
Delivering high-quality customer service, maintaining effective communication with internal and external stakeholders.
• Improvement - Assisting in the delivery and improvement of induction and training programs on records management and system use.
Participating in system updates, testing, and rollout activities for improved processes.
• Other Duties - Other duties as directed within the employee’s experience, skill, and knowledge.
About You

Demonstrated experience in managing a high volume of operational tasks within a team environment, consistently meeting SLAs while ensuring customer-focused service.
Proven ability to work collaboratively, sharing responsibility for tasks while delivering high-quality, customer-centric services with accuracy.
Strong capability to work independently with minimal supervision while contributing effectively as part of a team.
Skilled in lateral thinking, offering innovative solutions to challenges.
Proven ability to handle sensitive information with discretion and maintain high standards of confidentiality in accordance with information management policies.
A strong dedication to fostering a supportive and collaborative work environment.
Demonstrated commitment to delivering excellent customer service and a continuous improvement mindset.
Highly developed knowledge of Microsoft Office and corporate technology systems essential for operational tasks.
