THE OPPORTUNITY


Due to increasing demand we are looking for a new team member to assist our Office Manager in the provision of notary and general admin services. This important new role will see you undertake a wide variety of tasks from reception, filing and basic admin to the critical, time-sensitive processes around preparing, cross-checking and lodging documents with DFAT and relevant Embassies.


A typical day can include:-

  • Basic reception and office assistance (answering phone, greeting clients, scanning documents, preparing boardroom for meetings, collecting/logging mail, managing senior staff appointments, managing stationery and office supplies)
  • Initiating orders based on corporate emails or web enquiries
  • Preparing/cross-checking/lodging documents either in person or via courier/Australia Post
  • Tracking documents and updating spreadsheets as appropriate
  • Obtaining foreign currency
  • Contacting third parties to verify documents
  • Liasing with staff at various Embassies

This role might either be:-

  • full time or
  • permanent part time from 0930-1430 to suit someone with school aged children.

WHO ARE YOU


While there is no specific industry experience expected, we are looking for someone who has good general experience including:-

  • Strong office skills eg good typing speed/accuracy, strong MS Office and general computer skills
  • Ability to adapt to new industry specific software if required
  • Confident and engaging telephone manner
  • Excellent written and spoken English
  • Ability to look for and identify efficiencies

As important as these practical skills are the personal characteristics that will help you to fit in seamlessly with the existing team. Our ideal person has:-

    • Ability to respect and adapt to a wide variety of cultures and ethnic backgrounds
    • Strong attention to detail and a problem-solving nature
    • An efficient, methodical approach with the ability to raise issues that require further investigation or escalation
    • Good work ethic
    • Confidence without cockiness
    • No qualms about doing basic tasks (even the Boss empties the bins and vacuums occasionally!)
    • Genuine desire to be part of a small, supportive team
