About Us

We are seeking a proactive and detail-oriented Office Admin to support our daily office operations and customer service activities. This role requires effective communication with customers, overseas agents, and internal departments to ensure smooth handling of inquiries, orders, and logistics coordination. The ideal candidate will be responsible for managing office administration, supporting import/export documentation, coordinating deliveries, and maintaining accurate records. This position is suited for someone who is organized, customer-focused, and able to multitask in a fast-paced working environment.



Responsibilities

Customer Service & Communication

  • Communicate effectively with customers and overseas agents via phone, email, or in-person meetings.
  • Respond to customer inquiries in a timely and professional manner.
  • Address and resolve customer concerns and complaints efficiently.
  • Gather and assess all necessary details to respond to product or service inquiries.
  • Provide accurate pricing, product details, and delivery information.
  • Handle customer orders, applications, and requests.
  • Maintain up-to-date customer records and documentation.

Administrative & Office Management

  • Perform general administrative duties to support daily operations.
  • Liaise and coordinate with internal departments to ensure smooth communication.
  • Follow up on customer interactions to ensure satisfaction and resolution.
  • Organize messenger and courier service arrangements.
  • Manage incoming and outgoing correspondence, including emails and mail distribution.
  • Scan, photocopy, and file documents as required.
  • Maintain organized filing systems and office storage areas.
  • Update and manage internal contact lists and staff records, including parking, phone extensions, and company credit card details.
  • Prepare and type business correspondence, reports, and other documents.

Logistics & Operational Support

  • Coordinate small cargo exports and arrange transportation logistics.
  • Book air and sea freight shipments, including preparing export documentation.
  • Liaise with customs agents to facilitate clearance and quarantine inspections for inbound cargo.
  • Organize delivery or collection services in coordination with clients.

Office & Facility Maintenance

  • Monitor and replenish office supplies as needed.
  • Ensure office equipment is well-maintained and serviced regularly.
  • Perform work-related errands, such as banking and mailing services.
  • Maintain a clean, organized, and professional office environment.

Additional Support

  • Provide on-site assistance during peak operational periods or special projects as required.




Your Profile

  • Strong communication skills (both written and verbal) in English and Japanese.
  • Customer-oriented with excellent problem-solving skills.
  • Good organizational and time management skills with the ability to prioritize tasks.
  • High attention to detail and accuracy in handling documents and data entry.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Familiarity with basic office equipment (printers, scanners, photocopiers).
  • Permanent full work right in Australia.
