Description:

The Creative Studio operates within a dynamic and fast-paced environment with responsibility for publishing, graphic design, exhibition design, the workshop and overseeing rights & permissions across the Gallery. This position assists with the licensing of copyright and permissions for works in the national collection, exhibitions, publishing, and other Gallery projects.
With a customer service focus, the Rights and Permissions Assistant role is responsible for administering and processing external image requests and providing administrative support to the Senior Rights and Permissions Coordinator across a range of projects. The role will suit a highly organized individual with excellent communication skills and attention to detail. The ability to manage many competing priorities, show initiative and liaise confidently with internal and external stakeholders is essential.
This position reports to the Senior Rights & Permissions Coordinator. This position of Rights & Permissions Assistant is an ongoing role with the Creative Studio team, in the Marketing, Communications & Visitor Experience portfolio at the Gallery.
The key duties of the position include
In accordance with the APS 4 work level standards, you will:
  1. Process and administer external image requests; be the first and main point of contact for all enquiries, liaise with internal departments including imaging, curatorial and finance to facilitate and process requests; communicate consistently with the client to ensure a high standard of customer service is maintained; contribute to and generate order reports as required.
  2. Provide support to the Senior Rights and Permissions Coordinator to administer image permissions and copyright approvals for Gallery uses such as exhibitions, publishing and other projects, including communicating with internal and external stakeholders, updating project documentation and data entry.
  3. Provide advice to internal stakeholders on image and caption usage, monitor internal copyright reporting and ensure adherence to guidelines and approved processes; provide support and training where required.
  4. Distribute and follow up licenses with artists and copyright holders; update the collection management database and provide advice to internal stakeholders as relevant.
