What this job involves:
We are seeking a highly organised and proactive Team Administrator to join our team. As the Team Administrator, you will play a crucial role in providing administrative support to our team or department. Your main responsibilities will include managing calendars, coordinating team activities, and facilitating effective communication within the team.
Overview of the role:

General administrative assistance, such as managing calendars, scheduling meetings, and maintaining files and databases for the team or department
-
Facilitate effective communication within the team, including coordinating team activities
-
Help with the development of presentations for State & national leadership, as well as creating, formatting and editing various documents
-
Support the Senior Executive Assistant & State Leadership Team in ensuring adherence to policies and procedures
-
Handle incoming and outgoing communication, including drafting emails, letters, and other documents
-
Manage meeting logistics (room bookings, schedules, materials, minutes) and coordinate team travel (flights, accommodations, transportation)
-
Foster a positive and collaborative team environment by contributing to team-building activities and promoting effective communication and information sharing
-
Provide additional support as , including assisting with special projects, conducting research, and performing other assigned administrative duties to support the team's objectives

Previous experience in an administrative or support role, preferably within a team or departmental setting

Strong organisational and time management skills to handle multiple tasks, prioritize work, and meet deadlines efficiently

Excellent written and verbal communication skills.

Exceptional attention to detail to ensure accuracy in administrative tasks, document preparation, and data management
-
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), as well as familiarity with database management and collaboration platforms

Strong problem-solving skills and a proactive approach to challenges

Ability to adapt quickly to changing priorities, work effectively under pressure, and handle multiple tasks with composure and professionalism

A collaborative and team-oriented mindset, with the ability to work well as part of a team while also being self-motivated and able to work independently
