Beaconsfield, VIC | Monday to Friday | No weekends

Located in Beaconsfield, our busy, modern, and fully paperless practice supports children, teens, adults, couples and families. We provide therapy, assessments, and tailored services with warmth, care, and a touch of fun. We're a team of passionate psychologists and admin legends who are big on teamwork, initiative, integrity, and a shared commitment to exceptional client care.

Your Role & Responsibilities

As our Lead Receptionist, you'll be central to creating a smooth, supportive experience for both clients and clinicians. Your day-to-day will include:

  • Being the first point of contact—welcoming clients with professionalism, warmth, and empathy

  • Handling incoming calls, emails and client enquiries efficiently

  • Scheduling appointments and managing calendars for a large team of psychologists

  • Managing billing, invoicing and Medicare/third-party claims accurately

  • Overseeing daily front desk operations and administrative tasks

  • Supporting a small admin team with leadership, workflow management and training

  • Maintaining accurate client records while upholding strict confidentiality and ethical standards

  • Liaising with external providers (GPs, schools, NDIS, etc.)

  • Assisting with process improvement and contributing to a thriving workplace culture

What We’re Looking For
  • Previous experience in medical or allied health reception (psychology experience highly valued)

  • Leadership skills or experience guiding small teams or overseeing workflows

  • A tech-savvy mindset – we’re paperless and use tools like PracSuite and Asana

  • Strong multitasking abilities and ability to stay calm under pressure

  • A proactive, solutions-focused approach with great attention to detail

  • Exceptional communication and interpersonal skills

  • Reliability, accountability, and the ability to work independently

  • A genuine interest in mental health, personal growth and providing outstanding service

Bonus Points If You Have:
  • Experience with PracSuite or other practice management software

  • Familiarity with Medicare billing or third-party funding (NDIS, etc.)

  • Sales experience or comfort in guiding service enquiries

  • Experience working in psychology, mental health or allied health settings
