MEDICAL RECEPTIONIST / ADMINISTRATOR
- Permanent full-time position (5 days)

Mindspace Psychology is looking for a capable and self-motivated Receptionist / Administrator to join our large team in Beaconsfield, Victoria.
The position is perfect for someone who thrives under pressure, uses their initiative, and is confident in juggling multiple tasks. It would suit someone with previous experience in allied health or medical reception .

We take into consideration the client's whole experience. For us, therapy begins BEFORE our clients walk through the front door of our clinic. It starts from the first point of contact (this is YOU), when our clients take the first step to seek the support they deserve!
At Mindspace Psychology, we run a completely paperless clinic and are looking for a candidate who goes above and beyond to ensure a seamless experience for both our clients and clinicians. As a front of house front desk receptionist, you will be the first point of contact for our new and existing clients. You are welcoming, professional, offer warmth and support and thrive on working in an environment where you can express and offer your initiative, creativity, independence and integrity in a fast-paced and technologically savvy practice.
You love working in and having fun with an amazing team of Psychologists and front desk superstars, but also love working independently and are good at getting things done! You like to take initiative, use your imagination and common sense whilst multi-tasking like an organised pro! You have meticulous attention to detail, ability to work efficiently, and excellent documentation and communication skills (or an ability to learn quickly with the fantastic training you will receive). You love to develop and grow and be a part of an amazing team of Psychologists.
Mindspace Psychology is an established private psychology practice located in the heart of Beaconsfield, in Melbourne’s leafy south-eastern suburbs. We have highly skilled and compassionate therapists who work both in-house and via telehealth, providing counselling, psychological assessement and various other psychology services for adults, couples, children, teens and families.
REQUIREMENTS, SUPPORT AND TRAINING
What we need from YOU
To thrive in this role, you’ll be:

- Proactive and able to take initiative , especially when working independently
- Comfortable working autonomously and making informed decisions on the spot
- Tech-savvy and able to learn systems quickly
- Professional and personable, with strong verbal and written communication skills
- Self-directed, reliable, and solutions-focused
- Comfortable with client-facing communication, including supporting sales and service enquiries
- Willing to work toward clear performance goals and KPIs
Bonus Skills (Desirable):
- Experience using PracticeSuite or similar practice management software
- Knowledge of Medicare and third-party billing
- Familiarity with tools such as Asana or other task management systems
- Prior experience in allied health, medical, or psychology reception roles
