The City Infrastructure Department, manages and maintains all civil, built, biodiversity corridors and environmental and natural assets across the City, totalling approximately $2.2 billion. The team is responsible for asset management, a capital works program, and maintenance in line with adopted levels of service. The team also manages leases for local community and sporting clubs, as well as security and civil compliance matters.
About the Role:
In this key leadership role, you will provide confidential and comprehensive administrative support to the General Manager City Infrastructure and senior department staff. You’ll be responsible for managing the operations and performance of the Administration Team, ensuring the delivery of efficient, consistent, and high-quality administrative services across the department. With a focus on continuous improvement and customer service, you'll also play a critical role in streamlining processes, driving team performance, and supporting strategic goals.
Key Responsibilities:
- Provide high-level executive support to the General Manager, including calendar coordination, briefings, and preparation of meeting materials.
- Lead, manage and support the City Infrastructure Administration Team, setting clear expectations and fostering a culture of professionalism and service excellence.
- Conduct performance reviews and create training and development plans for team members.
- Oversee and improve administrative procedures to enhance efficiency, consistency and customer service across the department.
- Coordinate agendas and minutes for departmental and cross-departmental meetings and committees.
- Monitor and manage the General Manager’s workflow and key tasks within corporate systems.
- Be the first point of contact for the General Manager, liaising with Elected Members, government departments, and community stakeholders.
- Work closely with other administrative professionals across Council to ensure cohesive and effective operations.
- Provide expert advice and support on governance and administrative processes.
- Ensure timely responses and compliance with legislative and corporate timeframes.
- Contribute to and lead improvement initiatives and projects across the department.
- Deliver excellent customer service to internal and external stakeholders, including handling conflict and complex customer enquiries.
To be successful within this role, you will have:
- Demonstrated experience as an Executive or Personal Assistant in a complex organisation
- Proven leadership skills with the ability to motivate, coach and manage a multi-disciplined team
- Strong knowledge of administrative and technology systems and processes
- Exceptional organisational and time management skills, with the ability to manage competing priorities
- High-level written and verbal communication skills, with strong attention to detail
- Excellent customer service and conflict resolution skills
- Ability to work autonomously with initiative and sound judgment
- Experience working across departments and building strong internal relationships
- Understanding of Local Government operations, including structures and procedures, would be highly advantageous
- A solutions-focused mindset with a commitment to continuous improvement
- Ability to quickly learn and navigate a range of corporate systems
