The School is seeking a dynamic and enthusiastic administration officer. A permanent part time position (11.30am - 4.30pm Monday to Friday). Immediate start.
Key responsibilities include but are not limited to:
Front Desk Operations:
Greet and welcome students, parents, staff, and visitors in a warm and professional manner.
• Answer and direct phone calls, respond to inquiries, and provide information about the school.
• Manage incoming and outgoing mail and deliveries.
• Ensure the front office is tidy, organised, and well-stocked with necessary supplies.
Administrative Support:
• Maintain attendance in the student database, following up absences with teachers, parents and students as required.
• Assist in the coordination of school events, meetings, and activities.
• Assist with purchasing and ordering of school supplies, food for events etc.
• Maintain accurate and organised records, files, and databases.
• Prepare correspondence, reports, and other documents as needed.
• Assisting with data entry and distribution of student information
• Perform manual synchronisation of updates between databases if required.
• Identify areas for process improvement and work with the Operations Manager to implement change
• Provide Administration team support as required.
Student and Parent Services:
• Assist the Admissions Officer with student enrolment, including processing student numbers and maintaining online student records.
• Provide information and support to parents regarding school policies, procedures, and events.
• Handle inquiries related to school lunches, uniforms, and other services.
Health and Safety:
• Assist with first aid and emergency response for students who present to the office with minor injuries and illnesses.
• Maintain First Aid accreditation
• Monitor the security of the school premises, including managing visitor sign-in/sign-out processes.
The successful candidate will possess:
• High school diploma or equivalent; additional qualifications in administration or related fields are an advantage.
• Experience in customer service
• Strong communication and interpersonal skills.
• Excellent organisational and time-management abilities.
• Proficiency in Microsoft Office Suite.
• Ability to prioritise and handle busy situations with a calm and positive attitude.
• Strong attention to detail and problem-solving skills.
• Familiarity with school management software (desired not essential)
• Previous experience in a receptionist or administrative role (desired not essential)
• International experience/experience working in a diverse, multicultural workplace (desired not essential)
• The ability to converse in one or more languages other than English. (desired not essential)
