Job Summary
We are seeking a proactive and highly organised Transport Coordinator to support our operations team. The successful candidate will coordinate freight logistics, optimise route planning, handle driver and customer inquiries, and ensure smooth day-to-day operations. This role requires strong multitasking abilities, attention to detail, and excellent communication skills.
The Role:
Logistics & Freight Management-
Book all freight using TMS (Transport Management System) Software and ensure timely scheduling.

Share freight tracking URLs with clients for real-time updates.

Optimise route planning for all interstate and local deliveries, considering accessibility requirements for small venues, semi-trailers, and B-Doubles.

Coordinating with your line manager to ensure that all backloads and on-time deliveries are coordinated and met every time
Driver & Fleet Coordination

Act as the primary point of contact for driver inquiries and resolve any operational issues, including urgent mechanical or site-related concerns.

Conduct weekly fleet inspections to ensure all vehicles meet safety and operational standards.

Provide drivers with up-to-date information regarding routes, schedules, and potential disruptions.

Coordinate with the line manager to ensure that the maintenance and servicing of Vehicles are met.
Customer & Internal Communication

Manage and respond to internal and external inquiries promptly and professionally.

Deliver proactive customer service, ensuring a high level of client satisfaction.

Address ETA inquiries and provide accurate delivery timelines.

Liaise with third-party service providers to resolve issues quickly and maintain seamless operations.

Handle all customer calls and inquiries, providing timely resolutions.
Administrative & Financial Duties

Data entry for operational reports, and register daily, ensuring accuracy and completeness.

Monitor and follow up on emails, taking appropriate action as needed.

Process internal and external invoices promptly.

Upload Proof of Delivery (POD) documents for record-keeping and customer verification
Additional Support
Assist with local deliveries when required, ensuring flexibility within the role.
Skills and Qualifications

At least 3-5 years of total experience in the same role.

Previous experience in logistics, transport coordination, or executive support (preferred).

Strong organisational and multitasking skills with attention to detail.

Excellent verbal and written communication abilities.

Proficiency in TMS Software or similar logistics management systems.

Ability to work under pressure and resolve issues efficiently.

A valid driver’s license (preferred for local delivery support).
