Description:
We are seeking a new Office Assistant to join our team at Southern Septics. We are a market leader with a large ongoing routine service base & regular maintenance work across Gippsland & SE Victoria, along with the Supply and Installation of Domestic and Commercial on-site Wastewater Treatment Plants.
You will be providing professional office support to keep the smooth running of the Office alongside our friendly, supportive team. This well organized and adaptable individual will work collaboratively with our team from Management, Tradesman & Accounts team.
The position will be 4 days per week 8:30 - 4pm (Potentially move to 5 days in the future)
Above award wages paid for the right candidate.
Key Duties and Responsibilities
Customer Service & Communication

Act as the first point of contact for all incoming enquiries relating to septic services, including maintenance, installations, and liquid waste bookings.

Manage customer communications including appointment confirmations, service updates, and follow-ups.

Maintain strong communication and relationships with builders, customers, home owners and council representatives to ensure smooth project coordination.
Scheduling & Coordination

Assist in scheduling and coordinating jobs across maintenance, servicing, installations, and liquid waste services.

Liaise with internal teams to ensure timely completion of scheduled tasks and orders.
Permits & Council Liaison

Coordinate with local councils, builders, and customers to obtain required permits, including ‘Permits to Install’ and ‘Permits to Use’.

Assist with the preparation and submission of council applications.
Quoting & Lead Management

Manage incoming business leads, prepare and follow up on quotes, and track win/loss data.

Support proposal preparation and ensure timely customer responses.

Assist in advertising and brand awareness.
Administration & Office Support

Maintain accurate records of customer details, service history, and bookings in the company database.

Assist with general administrative tasks to support the smooth day-to-day operations of the office.
Warranty & Stock Support

Coordinate warranty claims, returns, and replacement of parts.

Support material and tank orders, including deliveries and stock tracking.
