About the role
Reporting to the Finance and Quality Manager the Receptionist will deliver support services efficiently and effectively to ensure a quality level of support to all stakeholders. The Receptionist position is the first point of contact for Clients and as such requires the Receptionist to establish the high standard for what it means to be a client of WLF. This position may be exposed to confidential and commercially sensitive information.
Key Responsibilities:
Overall:

Provide high-quality and timely customer service support to external and internal stakeholders.

Office Reception and administration support for the Firm.

Update and maintain client records as required.
-
Monitor maintenance register and escalate issues to the Finance and Quality Manager as needed.

Ensure accurate documentation and maintenance of all Reception and other functional procedures.

Complete other tasks as directed from time to time.
Reception:
-
Ensure all communications are professional, accurate, timely, and appropriate.

Maintain client and employee confidentiality.
-
Keep Reception and meeting room areas clean and presentable.
-
Manage and redirect incoming calls.
-
Organise courier services as requested.
-
Maintain visitor records and contractor log.
Administration:
-
Set up and maintain client files as required.
-
Complete daily messages, banking, and mail in a timely manner.
-
Complete debtors monthly billing and client payments timely and accurately.
-
Provide word processing, data entry, and administrative support as requested.
-
Organise shredding and recycling as required.
-
Provide back-up support to accounts receivable and accounts payable and other finance-related functions as needed.

Complete mail and daily messages.
-
Scan and file corporate documents.

Manage contractors onsite, coordinate repairs and maintenance, and maintain certificates of currency.

Plan end-of-month catering or event requirements.

Handle all office ordering, including printing and stationery.
What you will need to succeed
To excel in the Receptionist role, you will need to demonstrate strong time management skills, with a proven ability to meet deadlines and prioritise tasks effectively.
You should be well-presented, highly organised, and possess excellent problem-solving abilities. Strong verbal and written communication skills are essential for success in this position.
With a minimum of 2 years’ experience in a similar role, the successful applicant will display the following attributes:

Certificate in business administration.

Experience and understanding of Reception and administrative functions.

Strong attention to detail.

Excellent work organisation and time management skills.

Advanced MS Excel and Word skills.

Well-developed interpersonal, written, and verbal communication skills.
